Job Title: Guardianship Case Aide

Supervisor: Guardianship Program Manager

Status: Non-Exempt (Hourly Employee)

Grade: Two, Step 4


Hourly Rate: $16.40 per hour

The incumbent functions as a Guardianship Case Aide in providing support services within the Guardianship Program. The incumbent provides support to Guardianship Case Managers to ensure that wards, assigned by the Probate Courts of the County of El Paso, served have food, shelter, transportation, and their medical needs are met. This includes driving in your own vehicle, making purchases for clients and documenting said purchases. The incumbent will also transport clients using an agency vehicle to medical appointments, shopping outings, and other assigned tasks. He/she will also provide record management/administration support as assigned by Guardianship staff and/or management personnel.

Furthermore, he/she must become familiar with the agency's SOP's, Employee Handbook, training materials, and internal forms necessary to meet the needs of this position.

Case Aide Duties and Responsibilities:


  1. Files documents and completes reports in a timely manner and in compliance with the Guardianship Program's Standard Operating Procedures and with legal requirements as may apply.
  2. Attends, drives/transports, monitors and advocates for clients at medical/dental/psychiatry appointments, court hearings, shopping outings, or as assigned.
  3. Completes documentation in the agency's case management software program (EMS program) to reflect the outcome of any client appointments.
  4. Completes follow-up reports and activities and informs appropriate staff as to the outcome of assignments made involving support to clients.
  5. Drive themselves to make purchases and deliveries to clients that can include: groceries, clothing, delivering medications, cigarettes, Sun Metro Lift tickets and/or other essentials. It is essential that an accurate inventory is done that documents all items purchased (these purchasing assignments can occur more than once a week).
  6. As assigned, drives and delivers spending money to clients and documents and obtains receipts of said deliveries.
  7. Drives themselves to deposits checks or cash at banking institutions and obtains receipts for all transactions.
  8. Accompany case manager(s) as assigned by supervisor on field visits, to court, or conduct an inventory of client's property.
  9. Provides support during the sale of client's property (estate sales or sale of property) and assists auctioneers, appraisers and locksmith as assigned.
  10. Assists with the planning and organizing of events.
  11. Completes other duties assigned.


Records Management Duties and Responsibilities:


  1. Daily when in office, files paperwork inserted in the pending cabinet or given by Guardianship Staff.
  2. Becomes well versed in the agency's filing procedures such that files in the client records room are filed in a timely and accurate manner.
  3. Periodically monitors client records to ensure that files are maintained per the Program's SOP's.
  4. Retrieves Guardianship client records and delivers them as assigned (may be within the agency, the courthouse, or to attorney's offices.)


Essential Requirements:


  1. High School Diploma or equivalent with at least 2 years' work experience in social services.
  2. Demonstrated ability to complete written reports.
  3. Be available to work before or after hours (although not the norm, the incumbent may be called upon provide support other than 8 to 5 Monday through Friday).
  4. Must have a current driver's license and show evidence of meeting state requirements of having the appropriate level of automobile insurance and drive themselves or clients to appointments, meeting, etc.
  5. Able to lift up to forty pounds (groceries other purchasing may weigh as much)
  6. Must undergo background check and drug test and not have positive results (must not have been convicted of a crime or have a positive drug test result).
  7. Commitment to diversity and ability to work effectively with persons of diverse backgrounds is a must.
  8. Bilingual skills are encouraged but not required. The incumbent is expected to be sensitive and have empathy to clients served by the agency.

Funding for this position is through a grant or contract received by the agency. As with all funded programs, the position is contingent upon continuation of funding.

Evaluation: A review of performance is conducted after a three-month introductory period, and upon completion of twelve months from the date of hire, and every twelve months thereafter.
