General Responsibilities
The Transcript Evaluator is responsible for analyzing and interpreting academic transcripts, prior learning assessments, and other official documents to determine transferability of credit while adhering to college policy and state guidelines. Maintains transfer credit equivalency and policy information on the college website, staff reference materials, and the student information system. Works closely with academic advisors, faculty, and other staff to provide timely and accurate information. Implements reporting requirements as dictated by state regulation.
Work Performed

  • Analyze a variety of documents including and not limited to transcripts from secondary and post-secondary institutions, international credential evaluations, and prior learning assessments to complete student transfer credit evaluations.
  • Conduct research to determine transferability and applicability of college-level coursework using a multitude of resources including course descriptions, college catalogs, faculty expertise, and web tools.
  • Utilize degree audit software to accurately enter and maintain transfer credit and equivalency information in the student information system.
  • Serve as the primary contact for student inquiries regarding transcript evaluations.
  • Verify incoming documents for authenticity and match to the appropriate student record.
  • Research academic programs and curricula at transfer institutions as needed.
  • Suggest and implement course substitutions as appropriate to maximize student degree progress and support the Reverse Transfer process.
  • Conduct system testing of the transcript evaluation processes and their impact on Student Planning and Degree Audit.
  • Conduct an annual review of the college catalog requirements against the student information system to ensure accuracy.
  • Comply with all published college policies and procedures and apply thorough knowledge of state laws and regulations regarding transfer credit, general education, course prerequisites, and applicable catalog year.
  • Apply thorough knowledge of federal regulations relating to FERPA and confidentiality of information.

KNOWLEDGE & SKILLS

  • Bachelor's degree or equivalent combination of education and experience sufficient to successfully perform the essential duties of the job. All degrees must be from a recognized institutional accreditor.
  • Prior experience in an academic environment.
  • Demonstrated knowledge of higher education policies and procedures.
  • Demonstrated ability to meet complex goals and collaborate with various departments on key initiatives.
  • Demonstrated understanding of partner transfer credit and academic policies, curriculum, and program requirements.
  • Ability to communicate formally and informally with a wide range of constituents both internal and external to the college setting.
  • Demonstrated proficiency with technology to include and not limited to student information systems software and Microsoft Office applications (Word and Excel).
  • Ability to perform complex and technical office and operational work with accuracy and a strong attention to detail.
  • Demonstrated competency in organizing data and preparing reports.
  • Self-motivated with the ability to work independently and set priorities to achieve goals/objectives.
  • Demonstrated ability to foster a cooperative team-focused work environment.

OTHER REQUIREMENTS

  • Regular attendance and extended and evening hours during peak periods and some Saturdays.
  • Criminal background check required.
  • Performs all duties while considering the impact of any actions on the college's sustainability initiatives in the areas of environmental stewardship, social responsibility, and economic prosperity.

As a participating member of the Maryland Retirement and Pension System, HCC offers two retirement options: The Pension, which requires a 7% employee contribution and The ORP, a 403(b) with a 7.25% employer contribution only. Employees in positions that do not require a bachelor's degree must participate in The Pension. Employees that possess a bachelor's degree and hold professional positions that require a bachelor's degree may choose to participate in either The Pension or The ORP.
