Pay Range: $40,000 - $50,000

The pay range is based on consideration of criteria such as required qualifications, experience, education and skills. Marquette Bank reserves the right to offer the selected applicant a salary commensurate with the applicant's qualification, experience, education and skills.

Position Summary:

The Administrative Associate performs a variety of specialized administrative and office support functions. Responsibilities include preparing correspondence, composing routine letters and memos, receiving, and directing visitors, maintaining departmental records and files, and performing job-related responsibilities that support departmental and organizational goals, consistent with the scope and purpose of the position.

Essential Duties and Responsibilities:

  • Answer all incoming calls, route them to appropriate departments. Ensure customers, vendors, and employees are handled professionally and courteously.
  • Greeting walk-in clientele and direct them to the appropriate office location.
  • Provide general administrative and clerical support to office staff, including overseeing and ordering office supplies, preparing Fedex labels, etc.
  • Order appraisals, title commitments, and flood certifications for lending area in accordance with lending regulations and Bank policies,
  • Distribute mail and courier deliveries within the office.
  • Process Post Closing Department functions, including review of loan files to ensure accuracy of scanned documents and post-closing file reviews to ensure all files are complete and all underwriting conditions have been cleared.
  • Track and log recorded mortgages and final title policies for residential and home equity files. Upload final documents in Encompass and send appropriate final documents to appropriate lenders in the secondary market. Contact title companies as necessary to obtain missing documents.
  • Review and ship home equity mortgages to appropriate title company for recording.
  • Maintain accurate contact list for real estate lending area.
  • Obtain license, insurance and W9 for appraisers not on Banks vendor list.
  • Enter realtor and attorney information in Encompass for residential lending.
  • Prepare daily and monthly reconciliation reports of Lending and Servicing DDA and General Ledger accounts.
  • Review adverse action documentation and complete/upload associated checklist to loan file for residential and home equity loans.
  • Prepare monthly report of Reg B compliance for residential and home equity loans.
  • Perform required quality control reviews of FHA and Conventional mortgage files, including verification of income, assets, appraisal, underwriting, title, and file documentation. Complete required checklist and monthly report as required. Report any shortcomings to be used by management to document the shortcomings and educate applicable personnel.
  • Maintain a working knowledge of all Mortgage/Consumer Loan compliance requirements through use of seminars, webinars, and other available educational media.
  • Actively comply with all applicable laws and regulations to include the Bank Secrecy Act, the Community Reinvestment Act, and all other deposit, lending, or non-deposit service regulations, adhering to the Bank's internal policies, procedures, and risk management responsibilities contained in the Employee Handbook, the Employee Code of Conduct, and other applicable policies.
  • Perform job-related responsibilities that support departmental and organizational goals, consistent with the scope and purpose of the position.

Knowledge/Abilities/Experience and Training Required:

  • High school graduate or equivalent required.
  • General office and customer service skills.
  • Excellent listening, telephone, and written communication skills.
  • Excellent interpersonal and organizational skills.
  • Proficiency in Microsoft Office Suite products.
  • High level of professionalism required.
  • Ability to manage difficult and sensitive business situations.
  • Working knowledge of residential/consumer lending prefer
  • Experience working in an office or sales environment preferred.
  • Working knowledge of Encompass software preferred.
