The Opportunity: Mattel is searching for a Talent Acquisition (Recruitment) Coordinator in El Segundo, CA. This is an exciting opportunity for someone who is passionate about Human Resources, Talent Acquisition, and delivering exceptional service. As a Talent Acquisition Coordinator, you will play a key role in creating a seamless candidate experience while supporting the recruitment efforts that help bring top talent to Mattel. What Your Impact Will Be: * Coordinate and execute end-to-end hiring processes across North America in partnership with Talent Acquisition Partners and hiring teams. * Manage interview scheduling and logistics, partnering closely with recruiters, hiring managers, executive assistants, and candidates to ensure a seamless interview experience. * Proactively resolve scheduling conflicts and coordinate timely interview arrangements across multiple stakeholders and time zones. * Schedule onsite, phone, and virtual interviews while balancing candidate and interviewer availability. * Generate, distribute, and track offer letters using Adobe Sign, ensuring all documentation is completed accurately and on time. * Initiate and monitor pre-employment background checks, providing status updates and escalating issues to recruiters and HR partners as needed. * Coordinate immigration and visa-related requests with external vendors and support permanent residency recruitment posting and screening requirements. * Conduct I-9 compliance reviews and audits for new hires, ensuring adherence to company policies and regulatory requirements. * Welcome and assist candidates during onsite interviews, helping create a positive and engaging candidate experience. * Arrange candidate travel and related logistics for onsite interviews and hiring events. * Support onboarding activities, including new hire coordination and Week of Play programming for the El Segundo campus. * Serve as a key point of contact for seasonal hiring initiatives, distribution center peak hiring, and other high-volume recruiting projects. * Maintain accurate candidate and requisition data within applicant tracking systems and other recruiting tools. * Support continuous improvement initiatives and contribute to additional Talent Acquisition projects and programs as assigned. Internship Program Coordination & Operations * Serve as the primary operational point of contact for the internship program, ensuring a seamless experience for interns, managers, and cross-functional partners. * Coordinate end-to-end internship logistics, including offer administration, onboarding, orientation, program communications, and offboarding activities. * Partner with recruiters, hiring managers, HR, and business leaders to support internship hiring and program execution. * Manage internship program timelines, key milestones, and communications to ensure a consistent and engaging intern experience. * Coordinate intern events, learning sessions, networking opportunities, volunteer activities, and executive speaker series. * Track and maintain internship program data, including start dates, conversion processes, and program metrics. * Develop and distribute communications, resources, and program materials for interns and managers. * Partner with recruiters and business stakeholders to support campus hiring initiatives and talent pipeline development. * Manage vendor relationships, budgets, purchase orders, and event logistics related to internship programming, as applicable. * Drive continuous improvement of internship operations, processes, and documentation to ensure a best-in-class program experience. What We're Looking For: * 1+ years of experience in an administrative, human resources, recruiting, or related support role requiring strong attention to detail, organization, and problem-solving skills. * Experience managing high-volume interview scheduling and complex calendars using applicant tracking systems (ATS), Outlook, or similar scheduling tools. * Proficiency in Microsoft Office Suite, including Excel, with the ability to create and maintain spreadsheets, track data, and generate basic reports. * Proven ability to effectively prioritize, multitask, and manage competing deadlines in a fast-paced environment. * Experience handling sensitive and confidential information, including compensation data, employee records, and other human resources documentation, with a high degree of discretion and professionalism. * Strong written and verbal communication skills, with a customer-service mindset and the ability to build positive relationships with candidates, hiring managers, and cross-functional partners. * Demonstrated ability to drive processes forward, anticipate needs, and proactively identify and resolve issues. * Highly organized and detail-oriented, with a commitment to delivering an exceptional candidate and stakeholder experience. Desired skills: * Experience working with Applicant Tracking Systems (ATS) and Human Resources Information Systems (HRIS), such as Workday and SmartRecruiters, is preferred. * Familiarity with recruitment operations processes, including offer letter administration, background checks, and onboarding coordination.
