Responsibilities

New full-time opportunity for a Front Office Coordinator at Bruker Corporate Headquarters in Billerica, MA (Monday through Friday, 8-5). This on-site position involves high level contact and requires effective communication with Bruker senior management, as well as customers, prospects, applicants, vendors and visitors.

    Conduct daily operations of the main lobby and reception area of Bruker Corporate headquarters campus to ensure that all communications meet company standards for maximum customer, visitor and employee satisfaction
  • Greet visitors and direct them to appropriate internal personnel
  • Manage incoming calls by gathering information and coordinating calls to the appropriate department or Bruker division
  • Ensure that all guests are treated both courteously and professionally
  • Prioritize and coordinate all incoming mail, email, faxes and telephone calls to the appropriate employee or department.
  • Monitor facility security: ensure visitors sign in, receive a badge and enter the building with an employee escort
  • Redirect shipment deliveries to Shipping and Receiving Department
  • Coordinate with Risk and Facilities Department to maintain updated Vendor Certificates of Insurance
  • Serve as liaison with the Facilities Department regarding building security/ property safety and repair and Order Requests
  • Maintain facility security including building access cards and badges, ordering new hire nameplates
  • Maintain cleanliness of reception and lobby area and first floor kitchen area stock for visitors
  • Interface with vendor regarding the quality and care of in-house plants
  • Maintain equipment supplies along with reservation list for projector and confererence rooms
  • Provide back-up to other administrative support personnel on campus and performs routine administrative work as needed and as directed by management
  • Perform other duties as required.


Qualifications

  • High School Diploma or equivalent required; Executive Secretarial Business School or training a plus
  • Minimum 5-7 years' work experience as Security, Receptionist, Corporate Concierge or similar role in a fast-paced, corporate environment
  • Strong working knowledge of Microsoft Office with advanced MS Outlook proficiency
  • Proven ability to maintain strict confidentiality of sensitive personal and professional information
  • Excellent organizational and time management skills with ability to work independently, prioritize, follow through, provide strong attention to detail and high quality
  • Excellent customer focus with ability to reliably respond to inquiries, work effectively, and build constructive personal and professional relationships with all stakeholders
  • Ability to satisfactorily complete position training requirements
  • Operates at the highest standards of business ethics, confidentiality, honesty, and personal integrity
  • Valid Driver License in good standing, issued by resident state required with reliable transportation
  • U.S. Citizenship or U.S. Permanent Resident status required
  • May be required to pass security clearance investigation.

At Bruker, the base salary is part of our total compensation. The estimated base salary range for this full-time position is between $24/hr to $37/hr and provides an opportunity to progress as you grow and develop within a role. The base salary for the role will depend on several job-related factors, including, but not limited to, education, training, experience, the geographic location of the successful candidate, skills, competencies, job-related knowledge, and travel requirements for this position. Full-time employees may also be eligible for a performance-related incentive in addition to a full range of benefits, including 401(k) with company match, an employee stock purchase plan, medical and dental plans, life insurance, short-term and long-term disability insurance, employee assistance program and paid time off including vacation, sick time and holidays, and more.
