The Access Design Specialist serves as an operational design expert and Epic build partner, translating specialty workflows and access standards into clear, actionable scheduling logic. This role consults with internal stakeholders to identify clinical enterprise needs and designs Decision Trees, self-scheduling workflows, and Fast Pass configurations to meet those needs. The specialist prepares and maintains all documentation to support build execution and ongoing maintenance, collaborates closely with IT, and ensures tools perform effectively post-go-live. Assignments typically involve medium-sized projects, including workflow analysis, design, documentation, and testing.
Essential Job Statements Conduct comprehensive scheduling workflow analysis to understand current state operations and identify opportunities for improvement aligned with ambulatory access goals. Partner with access leaders and specialty teams to evaluate the effectiveness of existing workflows and scheduling logic in meeting enterprise access standards and patient experience objectives. Design, modify, and maintain Decision Trees, Fast Pass, and self-scheduling configurations, ensuring alignment with operational needs and strategic priorities.access Translate operational workflows into Epic build requirements, collaborating closely with IT analysts to ensure accurate and effective configuration. Review and validate Epic builds pre-go-live, confirming alignment with operational intent and readiness for deployment. Monitor post-implementation performance metrics (e.g., deny rates, error routing, utilization) to identify issues and recommend refinements. Maintain high-quality documentation for all design work, including configuration details, business approvals, and standard templates to support governance and scalability Collaborate with Strategic Program Leads and Optimization Specialists to prioritize and sequence design work based on specialty readiness, impact, and enterprise goals. Proactively identify and mitigate project-related issues, providing solution-oriented escalation and support to ensure successful outcomes. Performs other duties as assigned and/or participates in special projects to support the mission of VCUHS and department. Provide assistance to team members. Accept alternate assignments, as required. Patient Population: N/A Employment Qualifications Required Education:Bachelor's degree in Business, Finance, Health Information Management or related field. Preferred Education:N/A Licensing/ Certification Licensure/Certification Required:N/A Licensure/Certification Preferred:N/A Minimum Qualifications Years and Type of Required Experience: Two (2) plus years of EPIC Cadence design, build, and implementation experience, including provider template Optimization, Visit Type, department and provider build experience preferred Project management experience required. Ability to manage multiple priorities simultaneously.
