Our Shared Services team, which includes People Operations, Finance, IT and Security, and Contracts, provides internal services and support across Ad Hoc. Shared Services works to improve efficiency, reduce costs, and enhance the overall quality of services provided to the company's various teams and business units. By streamlining and standardizing support, Shared Services allows teams and business units to focus on their core business functions and achieve greater effectiveness internally and with the agencies they support.

Primary Responsibilities:

In this role, you will serve as an individual contributor within a team; upon the direction and guidance of leadership, you will be responsible for supporting daily tasking activities, meeting deadlines, and supporting department operations. Primary expectations of a Talent Acquisition Coordinator include:




  • Schedules interviews with candidates



  • Maintains job boards and assists with sourcing candidates



  • Maintains accurate candidate records and pipeline activity within the Applicant Tracking System (ATS)



  • Tracks candidate pipeline activity, outreach efforts, and applicant flow data



  • Communicates with candidates throughout the hiring process to ensure a professional and positive candidate experience



  • Supports recruiters by organizing candidate information and ensuring alignment with role requirements



  • Supports job requisition setup, posting, and candidate tracking within the ATS



  • Supports reporting by maintaining data accuracy and ensuring timely updates within recruiting systems



  • Ensures high attention to detail across scheduling, candidate data, and recruiting workflows




Offer & Hiring Support:




  • Supports offer stage coordination, including drafting offer letters, routing approvals, and tracking candidate responses



  • Partners with recruiters and HR to ensure timely and accurate offer execution




Onboarding Coordination:




  • Assists with onboarding coordination, including background checks, pre-employment steps, and new hire communication



  • Ensures a smooth transition from candidate to new hire by coordinating with HR and hiring managers




Pipeline & Proposal Support:




  • Assists in maintaining pipeline and bench data for upcoming roles and proposal efforts



  • Helps track candidates tied to contingent offers and supports ongoing engagement




Basic Qualifications:




  • 0-3 years of experience in recruiting coordination, HR, administrative support, or a related role



  • Strong organizational skills and ability to manage multiple tasks and deadlines



  • High attention to detail and ability to maintain accurate records




Preferred Qualifications:




  • Bachelor's degree or equivalent experience



  • Experience supporting recruiting or talent acquisition teams



  • Experience in government contracting or proposal-based environments



  • Familiarity with onboarding or pre-employment processes



  • Experience with ClearCompany ATS



  • Experience using an Applicant Tracking System (ATS) or similar system

In support of various state and city equal pay transparency laws, Ad Hoc job descriptions feature the starting range we reasonably expect to pay to candidates who would join our team with little to no need for training on the responsibilities we've outlined above. Actual compensation is influenced by a wide range of factors including but not limited to skill set, level of experience, and responsibility. The pay for this role is $35.00 an hour.
