Reporting directly to the Senior Manager, Talent Acquisition, this position is responsible for managing all new hire requirements and leveraging the preboarding portal to facilitate a seamless preboarding experience.

  • Administrative Intern * Manage all aspects of new hire requirements prior to their official start date, including documentation, background checks, and necessary compliance activities.* Utilize and maintain the preboarding portal to assign, track, and confirm the completion of preboarding tasks for new hires.* Serve as the primary point of contact for new hires from offer acceptance through first-day onboarding.* Guide new hires through required paperwork, employment forms, and pre-employment processes.* Conduct welcome calls and provide clear expectations, timelines, and next steps.* Demonstrate effective communication across all channels-including email, phone, video, and in-person interactions-to ensure a seamless preboarding experience.* Provide ongoing support and timely communication to enhance the new hire experience.* Monitor progress and follow up with new hires to ensure deadlines are met for all required documentation and activities and communicate any delays or issues promptly to internal stakeholders.* Support candidates who are transferring to other positions within the organization, ensuring their preboarding requirements and transition activities are completed smoothly.* Serve as the main liaison between new hires and internal teams, addressing questions and providing guidance throughout the preboarding process.* Initiate background checks, verify reference check completion, health screenings, and immunization in compliance with healthcare regulatory standards. Track completion and escalate for additional compliance review as needed within a timely manner.* Ensure completion and accuracy of all I-9, licensure, certifications, and other regulatory documents.* Collaborate with credentialing teams for clinical roles to verify provider readiness (e.g., licenses, privileges, board certifications).* Collaborate with Talent Acquisition, HR, and EEC departments to ensure all preboarding activities are completed efficiently and accurately.

    Shift:

    Full Time, Monday-Friday day shift (hybrid)

    Experience:

    Experience working in a confidential environment. Excellent customer service, communication and organizational skills required, ability to multi-task and prioritize. . PeopleSoft, Taleo, and/or other applicant tracking system experience preferred.

    Education:

    Bachelor's degree in related field or minimum of 1-2 years experience working in Human Resource generalist position and a familiarity with recruitment processes preferred.
