We are seeking a highly organized and proactive Executive Assistant to support senior leadership. This role will be responsible for providing high-level administrative and operational support to executives, helping ensure efficiency, organization, and effective communication across the business. The ideal candidate is a self-starter with strong organizational skills, excellent communication abilities, and a keen attention to detail.

Job Duties and Responsibilities:

  • Provide high-level administrative and operational support to senior executives, anticipating needs and ensuring day-to-day efficiency
  • Manage complex executive calendars, schedule meetings, and coordinate logistics across multiple stakeholders and time zones
  • Plan, schedule, and manage end-to-end executive travel coordination, including itineraries, accommodations, and ground transportation, with the ability to proactively adjust plans in response to delays or disruptions
  • Prepare reports, presentations, correspondence, and executive briefing materials as needed
  • Manage highly confidential and sensitive information with discretion, sound judgment, and a high degree of professionalism
  • Serve as a liaison between executives and internal and external stakeholders, representing leadership with professionalism and clarity
  • Support executive and Board of Directors meetings, including Board travel, meeting and event/dinner coordination, preparation and distribution of materials, and meeting follow-up

Minimum Qualifications

  • High School diploma or equivalent
  • 5+ years of experience as an Executive Assistant or in a similar senior administrative support role
  • Strong proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint)
  • Excellent organizational, time management, and multitasking skills
  • Strong written and verbal communication abilities
  • Ability to work independently, anticipate needs, and proactively problem-solve
  • Proven experience handling confidential information with professionalism, discretion, and integrity

Preferred Qualifications

  • Bachelor's degree
  • Executive Assistant experience in the energy, oil & gas, or corporate sector
  • Motivated self-starter capable of performing with minimal supervision
  • Familiarity with oilfield terminology and operations
