Job Summary
The Coordinator of Special Programs II plays a critical role in supporting and coordinating complex programs, projects, and events with a strong emphasis on operational excellence, stakeholder service, strategic coordination, and team collaboration. This role requires advanced organizational skills, proactive communication, and a high level of professionalism. The Coordinator of Special Programs II manages significant program components, independently executes multi step operational processes, and serves as a trusted partner to Program Managers and Directors. The individual in this role ensures alignment with organizational goals, strengthens stakeholder relationships, and delivers high quality outcomes across multiple initiatives.
Minimum Education and Experience

- Bachelor's degree in related field.

- 3-5 years experience providing support to programs or projects or equivalent combination of education and experience.

  • Demonstrated experience coordinating complex programs, events, or projects, preferably in higher education.

  • Ability to anticipate program needs, identify gaps, and propose proactive solutions.

  • Proficiency in project management tools such as Monday.com and Microsoft Office Suite.
  • Experience supporting executive-level engagements, high-visibility events, and VIP interactions.
  • Familiarity with university policies, procedures, and operational practices.


Other Qualifications
To the extent this position requires the holder to research, work on, or have access to critical infrastructure as defined in Section 117.001(2) of the Texas Business and Commerce Code, the ability to maintain the security or integrity of the critical infrastructure is a minimum qualification to be hired and to continue to be employed in the position.
Essential Duties and Responsibilities
Team Engagement and Program Leadership Support

  • Foster a professional, welcoming, and approachable presence with internal teams and external stakeholders.
  • Support Program Managers and Directors in the planning, coordination, and execution of multi-phase initiatives and high-impact programming.
  • Lead assigned program areas independently, ensuring accuracy, timeliness, and alignment with broader goals.
  • Prepare agenda materials, collect data, synthesize information, and contribute to decision-making processes during meetings.
  • Mentor and support student workers assigned to program tasks, providing clear instructions and quality oversight.
  • Demonstrate flexibility and responsiveness to operational needs and serve as a dependable resource for teammates.


Communication and Collaboration

  • Communicate clearly and professionally across all platforms, ensuring information is timely, consistent, and aligned with program objectives.
  • Maintain accurate, detailed records in project management tools such as Monday.com.
  • Coordinate across departments, functional areas, and partner units to ensure cohesive planning and smooth execution of program activities.
  • Collaborate with fellow Coordinators to balance workload, streamline processes, and enhance program support across the office.

Stakeholder Support and Relationship Management

  • Respond to stakeholder questions promptly and thoughtfully to ensure a strong service-oriented experience.
  • Understand stakeholder priorities, research interests, and program goals to support meaningful engagement with the Office of Research and Innovation.
  • Connect stakeholders to appropriate resources across the office and guide them through established procedures, policies, and best practices.
  • Support high-level stakeholder engagements, including preparation of materials, logistics, communications, and meeting outcomes.

Operational Excellence

  • Exercise strong judgment in prioritizing workload, managing deadlines, and adapting to changing program requirements.
  • Independently manage assigned program components, timelines, budgets, and deliverables.
  • Identify process gaps, propose improvements, and support the implementation of new practices or tools that enhance operational efficiency.
  • Support planning and execution of events, workshops, trainings, and stakeholder engagements through comprehensive logistics management.
  • Prepare reports, tracking documents, and summaries, ensuring they are accurate, professional, and aligned with program objectives.
  • Maintain professionalism in all conversations, including those that may be sensitive or complex, demonstrating integrity and accountability.

  • Maintain professional office etiquette and demonstrate integrity, accountability, and high standards in all interactions.
  • Model professionalism through punctuality, productive use of office hours, and adherence to organizational standards.

Physical Demands and Working Conditions

  • This position may require occasional night and weekend hours with advanced notice per program needs.
  • Ability to lift, lower, carry, push, or pull up to twenty-five pounds as necessary to support event and program materials.
  • Ability to stand or sit for prolonged periods while performing various tasks.
  • Must be able to sit or stand at will for extended periods frequently throughout the workday.
  • Must be able to perform frequent to constant repetitive keyboarding functions to complete job tasks.
