Summary:

Provides high-level administrative support and project coordination for senior leadership, including Executive Vice Chairs and faculty within the Department of Surgery. This role supports and coordinates initiatives across clinical, academic, and innovation focus areas and serves as a front-facing representative for the department, requiring exceptional interpersonal, communication, and organizational skills. Responsibilities include complex administrative support, executive and faculty engagement, scheduling, reimbursement systems, high-level communications, and coordinated project activities that advance departmental priorities.

Responsibilities:

1.Provides high-level administrative support and project coordination for senior leadership, including Executive Vice Chairs and faculty members within the Department of Surgery, supporting clinical, academic, and innovation initiatives.

2.Serves as a front-facing point of contact for the department, professionally representing leadership in interactions with faculty, clinicians, staff, trainees, institutional partners, and external stakeholders.

3.Demonstrates strong people skills, exercising discretion, professionalism, diplomacy, and responsiveness while managing relationships, inquiries, and communications on behalf of senior leadership.

4.Coordinates projects and initiatives across clinical, academic, and innovation missions, supporting workflow development, timelines, documentation, tracking, and follow-up in collaboration with internal stakeholders.

5.Manages reimbursement and expense systems, including preparation, submission, tracking, and reconciliation of expense reports and travel reimbursements in accordance with institutional policies.

6.Manages complex calendaring and scheduling for senior leaders and faculty, including coordination of meetings, academic and clinical commitments, project-related sessions, and travel arrangements.

7.Facilitates high-level written and verbal communications, drafting, reviewing, and disseminating correspondence, briefings, and materials while maintaining confidentiality and professionalism.

8.Prepares executive-level materials, including agendas, presentations, reports, and meeting summaries. Tracks action items and ensures timely follow-up across leadership priorities.

9.Maintains document control systems, databases, and project tracking tools. Develops and distributes clear, timely communications and status updates to stakeholders as appropriate.

Education Requirements:
* Associate's degree in an appropriate discipline or equivalent combination of education, skills, and experience.
Licensure/Certification Requirements:
* No licensure or certification required.
Professional Experience Requirements:
* If bachelors, 1 year of administrative/office support or 6 months of project related support.
* If an Associate's degree, three (3) years of experience providing project-related support.
* If a high school diploma/GED, seven (7) years of experience providing project-related support.
