The New Hanover County Sheriff's Office is seeking a full-time Administrative Technician to provide essential administrative support in a dynamic law enforcement environment. This role involves managing office operations, processing financial transactions, maintaining records, coordinating schedules, and assisting both internal staff and the public. Essential Duties:
- Serves as office receptionist by answering and directing calls, greeting patrons and providing information.
- Prepares documents and forms which includes composing and typing correspondence; choosing and completing appropriate forms and applications; and compiling information and creating reports.
- Coordinates office schedules and reservations to include reviewing schedules and making appointments; securing and confirming room reservations; making travel arrangements; and maintaining computer-based scheduling programs.
- Processes purchase orders, payment vouchers and invoices which includes preparing and reviewing documentation; securing necessary approvals; and maintaining appropriate records.
- Enters, retrieves, and maintains data on computer system.
- Processes office mail by receiving and sorting incoming mail and calculating and affixing appropriate postage for outgoing mail.
- Maintains records by developing and implementing filing methods.
- Purges records per the State Records Retention Schedule.
- Maintains office supply inventory by monitoring stock levels and placing orders with vendors as necessary.
- Maintains petty cash, disperses as necessary, and submits petty cash reimbursement to Finance Dept.
- Assists citizens by communicating verbally and in writing and interprets and responds clearly to requests made over the phone, in person, or written request.
- Assists with the training of new personnel.
- Maintains record of personnel files and trainings.
- Maintains security standards for handling sensitive information.
- Maintains office equipment and submits tickets for maintenance as needed.
- Performs work with regular and predictable attendance consistently meeting the scheduling needs as required by the county.
- Answering and directing calls, greeting patrons and providing information.
- Fingerprinting individuals who are applying for jobs (Nursing, Insurance, Daycare etc.)
- Assisting with customers coming in to bring Civil papers to be served
- Enters, retrieves, and maintains data on computer system.
- Maintains records by developing and implementing filing methods.
- Performs work during emergency/disaster situations.

Salary will be determined based on qualifications. Bilingual candidates are eligible for a differential (5%) when performing Spanish language interpretation during the course of work. Qualifications
-
High School diploma or equivalent, and one (1) year of clerical, data entry, administrative support or related experience; or an equivalent combination of training and experience sufficient to successfully perform the essential duties of the specific position as listed above.

Licenses/Certifications

- License as a Notary of Public for the State of North Carolina,
- Valid North Carolina Driver License required by first date of employment with good driving record.
- NC Property and Casualty Insurance License within six (6) months of employment.

PHYSICAL REQUIREMENTS/WORKING CONDITIONS The work is sedentary work which requires exerting up to 10 pounds of force occasionally and/or negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects. Additionally, the following physical abilities are required: grasping, handling, hearing, manual dexterity, mental acuity, reaching, repetitive motion, speaking, talking, and visual acuity. The work is performed primarily in an office setting, or meeting area with typical levels of noise and disruptions.
