Position Summary
The Warehouse Administrator is responsible for the accuracy, integrity, and control of inventory across all warehouse locations, including the primary facility and Caine's warehouse. This role owns cycle count programs, physical inventories, system accuracy, and serves as a Super User for BC Foods (a Microsoft Dynamics 365 Business Central-based system). The position partners closely with Operations, Finance, Production, and Logistics to ensure inventory, transactions, and processes are aligned and compliant.
Key Responsibilities
Inventory Control & Accuracy
- Own and manage the inventory control process for all locations.
- Design, schedule, and execute cycle count programs.
- Lead and coordinate physical inventories at the main location and Caine's warehouse.
- Investigate and resolve inventory discrepancies, variances, and root causes.
- Maintain accurate item setup, locations, lots, and bin structures in the system.
- Ensure proper receiving, transfers, adjustments, and shipping transactions are completed correctly.
Multi-Warehouse Management
- Oversee inventory visibility and controls across internal and third-party warehouses.
- Coordinate inventory movements, transfers, and reconciliations with Caine's warehouse.
- Ensure consistent inventory processes and compliance between locations.
- Serve as the primary contact for inventory issues related to outside storage partners.
System Super User - BC Foods (Dynamics 365 BC)
- Act as a Super User for BC Foods.
- Train warehouse and office staff on proper system usage and transactions.
- Support troubleshooting, testing, and continuous improvement of system processes.
- Ensure data integrity for inventory, lot tracking, production, and warehouse transactions.
- Assist with system upgrades, changes, and reporting needs.
Reporting & Analysis
- Prepare inventory reports, cycle count results, and variance analysis.
- Provide insight into trends, shortages, overages, and process gaps.
- Support Finance with reconciliation and audit support related to inventory.
Process Improvement & Compliance
- Develop and improve warehouse and inventory control procedures.
- Ensure compliance with company policies, food safety, and traceability requirements.
- Identify opportunities to improve efficiency, accuracy, and accountability.
Qualifications
- Experience in warehouse administration, inventory control, or logistics.
- Strong understanding of cycle counting and physical inventory processes.
- Experience working in ERP systems; Microsoft Dynamics 365 Business Central preferred, advance Excel and reporting skills.
- High attention to detail with strong organizational skills.
- Ability to analyze data and resolve discrepancies.
- Strong communication skills and ability to train others.
- Comfortable working with multiple departments and outside warehouse partners.
- Lot tracking and traceability knowledge.
