The compensation offered to the candidate selected for the position will depend on several factors, including the candidate's educational background, skills and professional experience.

Job Overview:

The Facilities Dept. Head Secretary performs a variety of duties for the hospital's Facilities Department. The Secretary would be assigned to work directly for the Director of Engineering,

Incumbent is guided by a comprehensive and proven skill in the basic knowledge of Word, Excel, PowerPoint and Outlook,

The incumbent will possess organizational skills in managing the schedules, files and daily agendas of the Directors and Managers she is assigned to.

Job Qualifications:

  • High school diploma or equivalent
  • Four years' secretarial experience in a business environment

Scheduling Requirements:

  • Monday-Friday 7AM-3PM

Essential Functions:

  • Performs a variety of duties that assist the Directors and Managers within the Facilities Departments.
  • Answer the telephone in a timely and professional manner.
  • Types of correspondence, reports, memoranda, technical papers and related material for department staff as requested.
  • Manages the files of several sub-departments within the facilities group
  • Schedules and coordinates meetings which may include travel and lodging arrangements for Directors and Managers assigned.
  • Provides assistance in the day-to-day administration of the department
  • Inputs & Assigns all work orders into the CMMS program that are called in and communicates these work orders to the Facilities Planner/Coordinator
  • Assists with managing TMS work order system
  • Route information to the proper location and/or individual.
  • Work independently without supervision
  • Ability to effectively interact with all levels of management and hospital staff.
  • Maintain established maintenance policies and procedures.
  • Maintain the objectives of the Facilities Department.
  • Attends meetings as required.
  • Provides assistance with Payroll
  • Manages and logs all departmental requisitions.
  • Maintains all regulatory logs.
  • Takes Meeting Minutes for all department meetings/huddles.
  • Performs other related duties as assigned or requested
