POSITION SUMMARY/OBJECTIVE:

Our Valparaiso Site is seeking a detail-oriented and organized administrative clerk to be responsible for general clerical functions supporting both the production department and HR department. Activities include setting up new vendors, purchasing raw materials and general plant supplies/services for the site, transacting SAP inventory adjustments, timekeeping administration, file management, event planning and receiving phone and visitor inquiries.

The ideal candidate will need the ability to understand both short-term and long-term schedules to allow the plant to run on schedule. Excellent communication and follow up skills are required due to the time sensitive functions this position deals with on a daily basis.

ESSENTIAL JOB FUNCTIONS:




  • Timekeeping administration including reviewing weekly timecards for accuracy, recording and tracking paid time off, processing attendance occurrences according to policy and providing and maintaining accurate documentation.
  • Transact inventory adjustments in SAP on a daily basis, run select reports and assist in sorting, organizing and analyzing the data.
  • Enter and receive purchase orders in Ariba and/or SAP.
  • Retrieve/organize/analyze/data entry of files such as contractor timesheets, safety audits, etc.
  • HR/general support activities as needed such as event planning and organizing, new employee orientation, coordination of employee voucher programs, answer phone and visitor inquiries.
  • Manage general supplies ordering, distribution, stocking levels, competitive pricing, and select service providers. Analyze and compare suppliers for best price, value and availability. Assist in the new vendor creation process.
  • Check mail, sort and distribute.
  • Other duties as assigned.



REQUIRED EDUCATION AND EXPERIENCE:




  • HS Diploma or GED
  • 5+ years in administration, preferably in manufacturing environment
  • Proficient in Microsoft Word, Excel, and ERP systems.
  • Applies logical and practical approaches to problem-solving.
  • Ability to communicate effectively, both written and verbal, with internal and external parties.
  • Ability to negotiate and effectively manage vendor relationships for on-site vendor services.
  • Must have effective analytical, organizational and math skills.
  • Ability to work under pressure and within schedules to prioritize work and meet deadlines.
  • Ability to work without supervision but understand when to escalate to management as appropriate.
  • Effectively maintain confidentiality in all aspects of position.
