Configuration Management and Board Secretariat Specialist

ARES is looking for an individual with experience in Configuration and Data Management and Board Secretariat support to join our team supporting the Orion Program on the Mission Technical Integration Contract at the Johnson Space Center

Responsibilities:

  • Perform Board Secretariat functions at Program Boards and meetings.
  • Partner with Meeting Support on logistics including developing agenda, attendance tracking, pre-boards, etc.
  • Develop detailed technical minutes including formal actions and details for decisional items with final decision.
  • Coordinate review of minutes, publish minutes and maintain current versions.
  • Document and track formal board actions and maintain status of all action items through completion and closure.
  • Guide Board Chairs in CM processes, efficiently shepherd Directives through the CM system.
  • Provide Change Paper status at Program Board meetings.
  • Perform other CDM tasks as required including but not limited to the following:
  • Coordinate Changes (Change Requests, Deviations and Waivers, etc.) across contracts, teams, and organizations from change initiation through implementation and closure.
  • Perform Configuration Management Receipt Desk (CMRD) coordination of Program Changes for appropriate and timely processing and release of Program data.
  • Conduct Configuration Status Accounting (CSA) tasks to provide configuration verification, discrepancy tracking, and audit support.
  • Perform data management to:
  • Ensure established data standards are met to enhance data quality, data accessibility and data integration.
  • Proper generation, transmittal, receipt, distribution, storage and records retention of data and documentation including contract deliverables.
  • Understand restricted data requirements for the Program to ensure proprietary and sensitive data are marked and appropriately controlled.
  • Actively participate in process improvement initiatives and all other assigned duties.

Minimum Qualifications:

  • Excellent communication (both verbal and written) and interpersonal skills.
  • Must be proficient in minutes taking and be able to communicate clearly and concisely to Management.
  • Strong organization skills, attention to detail and excellent follow-through skills.
  • Be able to prioritize multiple tasks while coordinating with internal and external network of impacted organizations.
  • Proficient in Microsoft Office Suite (Word, Excel, Power Point, & Outlook) and SharePoint.
  • Must be customer focused and can articulate and patiently instruct others (peers, managers, teammates, and customers) in relevant CM processes.
  • Strong problem-solving skills.
  • Experience working individually and actively participating on integrated teams.

Required Education:

  • Associates Degree from an accredited college or university, or (5) years of experience.

Required Experience/Skills:

  • Excellent communication skills (both written and verbal) and the ability to interface with various customers.
  • Demonstrated ability to work well in a team and independently on a dynamic development program.
  • Excellent data gathering, attention to detail, analytical and critical thinking skills.
  • Must be a self-starter, highly motivated and able to take initiative in completing tasks with minimal management direction.
  • Proficient in MS Office and MS Project
  • Advanced MS Excel understanding
  • Ability to understand technical concepts and designs and relate them to schedule inputs and impacts.
  • Ability to create and analyze integrated master schedules (IMS)

Preferences:

  • Technical writing experience
  • NASA experience
  • Experience in working one of the areas of Change Management and Configuration Identification, Configuration Status Accounting, Verification or Audits, data management or document control and management.
  • CM knowledge: EIA-649, National Consensus Standard for Configuration Management Or CMPIC Certification Or National Defense Industrial Association (NDIA) Certification

Essential Requirements:

  • Must be a U.S. Citizen and successfully complete a U.S. government background investigation.
  • Be able to successfully pass a drug test
  • Work may involve sitting for extended periods.
  • May require lifting and carrying up to 25 lb.
  • Must have sufficient mobility to enter areas of test facilities where necessary.
  • Generally an office environment, but can involve inside or outside work depending on task.
  • Ability to use standard office equipment (PC, telephone, fax, etc.)
  • Regular attendance in accordance with established work schedule is critical.
  • Ability to work outside normal schedule and adjust schedule to meet peak periods and surge requirements when required.
  • Must be able to work in a team atmosphere.
  • Must put forward a professional behavior that enhances productivity and promotes teamwork and cooperation.
  • Grooming and dress must be appropriate for the position and must not impose a safety risk/hazard to the employee or others.
  • This position may require some commuting and traveling to other locations as needed.
