The Purchasing Assistant provides critical administrative and clerical support to the purchasing department. This entry-level position is ideal for candidates looking to start a career in construction procurement. You'll assist with data entry, purchase order processing, material tracking, and communication with suppliers to ensure timely and accurate material delivery.
Key Responsibilities
* Assist with generating and issuing purchase orders based on project and department needs.
* Track delivery statuses and follow up with vendors to ensure timely shipment of materials.
* Maintain accurate records of orders, receipts, and vendor confirmations.
* Support reconciliation of invoices and packing slips for payment processing.
* Help organize and manage material pricing, product availability, and supplier contact info.
* Communicate with project managers, warehouse staff, and accounting on material timing and discrepancies.
* File and scan purchasing documentation to maintain compliance and audit-readiness.
* Assist with collecting lien waivers, COIs, and other subcontractor or supplier documentation.
* Contribute to maintaining vendor relationships through timely and professional communication.
* Perform general administrative tasks, including copying, data entry, and inventory form updates.
* Obtain, review, and process project closeout documents.
* Obtain specialty product certifications and documentation as needed.
Qualifications
Required:
* High school diploma or GED; associate degree or coursework in business or supply chain a plus.
* 1-2 years of experience in an office, administrative, or procurement support role (internships welcome).
* Basic understanding of purchasing or procurement functions.
* Proficiency in Microsoft Excel, Word, and basic data entry tools.
* Excellent organizational skills and attention to detail.
* Strong written and verbal communication abilities.
* Ability to work in a fast-paced, deadline-driven construction environment.
Preferred:
* Exposure to construction or materials-related industries.
* Familiarity with ERP or procurement software (e.g., Sage 300 CRE, QuickBooks, Procore).
* Interest in growing into Buyer or Procurement Specialist roles over time.
