Position Summary
This position will serve by assisting the Facilities Manager as a key operational leader within the Terry Facilities and Logistics department, ensuring the effective and efficient scheduling of all facility spaces managed by the department. This position is responsible for coordinating usage across a wide array of stakeholders - including academic units, staff, student organizations, units across UGA campus and visitors. Customer service is critical for this position.

  • Basic knowledge of building operations and support.
  • Ability to work successfully, professionally, and positively with administrators, faculty, staff, students and the public.
  • Familiarity with financial processes including invoicing, fee collection, and reporting.
  • Exceptional organizational skill and attention to detail.
  • Strong interpersonal communication and conflict-resolution capabilities.
  • Skill in using software packages for office use, statistics generation, access control, alarm monitoring or event and classroom scheduling.
  • Effective oral and written communication skills.
  • Ability to multitask and manage multiple concurrent projects in a dynamic university environment.

Facility Scheduling and Stakeholder Coordination

  • Serve as the primary scheduler for all Terry College of Business-Athens campus spaces, including academic courses/events, event spaces, hoteling offices, conference rooms, interview rooms, team rooms, student organization tabling, and visitor parking spaces.
  • Manage facility usage scheduling by conferring with requests, scheduling events, assessing fees and managing/coordinating related facilitative functions such as catering, equipment/technology requests, custodial needs, security needs and acting as a liaison with Campus Reservations.
  • Manage classroom event scheduling and Terry controlled rooms within the Business Learning Community using the 25Live Scheduling software for academic units, support units, student organizations and external group usage.
  • Manage event space scheduling and interview room scheduling using the Team Dynamix Scheduling software.
  • Coordinate with university faculty, staff, and departmental leadership to address complex scheduling needs, resolve conflicts, and uphold facility usage priorities.
  • Maintain open communication and professional rapport with all users.

Facility Rental and Event Operations Management

  • Oversee internal and external reservations for the Terry College Athens campus facilities, including:



  1. Business Learning Community (BLC)
  2. Studio 225
  3. Terry Uptown
  4. Launch Pad located at Creswell Hall (when applicable)


  • Facilitate client meetings to assess rental needs, outline policies, and determine fees.
  • Prepare rental agreements, reservation confirmation emails, event logistics documentation, and invoices.
  • Coordinate event set-up and special access needs with facilities and events staff and student assistants.
  • Assist with scheduling for maintenance, construction, and capital improvement projects impacting space availability.

  • Develop and publish semester, break, and daily schedules for all departmental facilities.
  • Maintain accurate and up-to-date facility information on the departmental website internal platforms.
  • Manage facility calendars in Outlook.

Financial Operations and Administrative Support

  • Collaborate with the business office to ensure accurate billing, fee collection, and revenue tracking.
  • Assist in annual revenue projections, budget forecasting, and reporting.
  • Maintain secure, organized records and documentation of all reservations and rentals.
  • Assist with purchase requests related to departmental billing.
  • Sorts/distributes mail deliveries.
  • Assists with secure print and copy operations.
