Job Summary

The Fiscal Specialist Senior (Short-Term) opportunity in Facilities Planning & Development at the District Office of Maricopa Community Colleges plays a key role in providing fiscal transactions, maintaining systems, and supporting functions such as accounting, payroll, budgeting, contracts, and procurement. This position handles technical accounting work, including preparing, maintaining, and processing financial records, general ledger entries, and other financial transactions, ensuring accuracy and compliance.

In addition, the Fiscal Specialist Senior (Short-Term) may provide guidance, mentorship, and technical support to professional financial staff across payroll, budgeting, accounting, procurement, invoicing, and related functions, helping the team achieve operational excellence.

Essential Functions

30% - Purchasing-related tasks include preparation, coordination, and/or distribution of contract documents:
  • Code transactions and generate requisitions
  • Monitors existing budgets
  • Reviews supporting documentation for accuracy and resolves discrepancies

20% - Accounts payable and related tasks include a support document review for accuracy, obtaining approvals, coding payments, data entry, and annual accrual development:
  • Resolves discrepancies
  • Edits and/or drafts, develops financial codes, and confirms budget availability
  • Distributes agendas and action items for the Capital Development Advisory Council and Governing Board

20% - Project Maintenance tasks include initiating, maintaining, and/or closing projects in the financial management system and maintaining the project audit trail:
  • Liaison to Business Services, College Facilities, and Fiscal Offices, vendors, and other vested partners.

20% - Performs project and account reconciliations:
  • Analyzes the financial management system for accuracy
  • Researches, resolves, and documents discrepancies
  • Prepares related financial schedules and adjusting journal entries


10% - Related duties as assigned, such as meeting coordination, agenda preparation, and minutes:
  • Develops training materials and procedures manuals
  • Routine/daily administrative support


Minimum Qualifications

Associate's Degree from a regionally accredited institution and four (4) years of financial support experience in an area related to the assignment, such as fiscal, finance, accounts receivable/payable, or payroll.

OR

An equivalent combination of the conferred degree and directly related full-time work experience as described above, sufficient to successfully perform the essential duties of the job, such as those listed above, unless otherwise subject to any other requirements set forth in law or regulation, may be considered.

Desired Qualifications
  1. Experience performing accounting or fiscal duties in a governmental setting
  2. Experience performing accounting or fiscal duties in the construction or architectural industries
  3. Accounting Experience with Capital or Fixed Assets.
  4. Experience working in public procurement.


Special Working Conditions
  • Lift or carry up to 25lbs.
  • A computer may be required to sit for a prolonged period of time while viewing a computer monitor.
  • Work Location: Occasional telecommuting may be required, i.e., during COVID or other emergency restrictions.
  • Work Hours: Occasional overtime may be required
