Job Summary

The Academic HR Analyst position will work closely with the Division Manager and Leadership and collaboratively with the Division's Academic Personnel Manager to provide expertise in recruitment, personnel onboarding, faculty development, VISA management, and other processes to assist with personnel administration at various levels. The position reports to Division Manager, who is responsible for Division academic, clinical, educational and research activities. #CA-SB

Minimum Qualifications - For full consideration, applicants are encouraged to upload license and/or certification if required of the position

  • Bachelor's degree and/ or equivalent experience, preferably in business or related field and/or a combination of experience, education and/or training.
  • At least two years progressive administrative experience in academic healthcare, including calendaring, meeting coordination and events planning.
  • At least two years experience in human resources and/or faculty recruitment, including search preparation and support, interview scheduling, hiring processes, and onboarding.
  • Experience providing administrative support to faculty, managers or high level executives.
  • Demonstrated excellent writing, editing and proofreading skills to quickly and accurately produce professional and accurate correspondence and other written materials.
  • Demonstrated strong communication skills with the ability to clearly convey information and ideas through a variety of media to diverse audiences.
  • Demonstrated exceptional customer service and interpersonal skills.
  • Demonstrated ability to continually learn and grow, quickly and effectively learning to use new tools and apps, systems and processes in a continually changing environment.
  • Demonstrated advanced skills using Microsoft Word and Outlook.
  • Advanced beginner skills using Excel and Teams.
  • Ability to quickly learn and use various software applications.
  • Demonstrated analytical skills to evaluate information such as funding, payroll and other data, with the ability to formulate logical and objective conclusions.
  • Ability to take initiative, working independently or effectively as part of a team.
  • Strong time management and multitasking skills.
  • Problem-solving ability using colleagues, online resources, and good judgment.
  • Demonstrated strong organizational, administrative, and technical skills to assume general assignments and independently follow through to successful completion.
  • Demonstrated political acumen to work in an executive-level office environment, with ability to represent the Division and faculty with professionalism, tact and discretion to all constituents.
  • Ability to anticipate problems/ roadblocks and associated consequences, and take appropriate initiative on behalf of the division manager, supervisor and faculty.

Preferred Qualifications

  • SHRM certification.
  • Previous experience working with physicians in a healthcare setting.
  • Experience using MyInfoVault, APHID, RECRUIT, PeopleAdmin and/or other online systems/apps used for academic advancement and physician and staff recruitment.
  • Experience working with VISA's with knowledge of J1 or HIB visas, including processing of necessary documents for employment of foreign visiting scientists and scholars.
  • Demonstrated knowledge of HR principles and practices in order to interpret, understand, and apply policies and procedures.
  • Demonstrated, thorough knowledge of UC Davis and School of Medicine policies and procedures related to academic personnel and staff recruitment, HR policies, hiring, and other personnel actions.

Department Overview

Combined, the Divisions of Hematology and Oncology and Malignant Hematology/ Cellular Therapy & Transplantation are the largest of 14 divisions in the Department of Internal Medicine. The Divisions is comprised of more than 50 faculty and staff physicians, 30+ nurse practitioners/physician assistants, 50+ administrative and research staff, and ongoing faculty, staff and nurse practitioner recruitments. The Division operates large, diverse clinical and research programs with faculty leaders in Oncology, Hematology, Bone Marrow Transplant, and Cellular Therapies, Hemophilia, Sickle Cell, and Thrombosis research. The Division houses the faculty leaders of the Cancer Control, Regenerative Medicine, and PET imaging programs. The Division is a major component of the NCI-designated UC Davis Comprehensive Cancer Center and has a strong presence in developmental therapeutics.
