The Operational Support Specialist is responsible for supporting all sales groups for obtaining and maintaining all customer setup information, properly inputting data, maintaining accurate records, and administering customer allocations.

This position is based at our headquarters in Waltham, MA. We offer a hybrid work environment which includes working three days a week in the Waltham office.

"Gauges" of Responsibility

  • Partners with internal and external contacts to obtain all new customer setup information, including but not limited to taxes, pricing and other customer related information; ensures all records are obtained and processed within the defined timelines.
  • Coordinates with other suppliers as applicable to ensure full setup for terminals.
  • Understands system requirements and processes; properly inputs and maintains all customer setup information in the legacy and terminal automation systems.
  • Handles internal and external inquiries and issues as related to customer setup information; researches and resolves all issues; further escalates issues to manager as appropriate.
  • Serves as the point of contact for customers with allocation and loading issues; researches and resolves all issues; further escalates to management as appropriate.
  • Communicates directly with all clients and maintains key customer relations.
  • Compiles reports on customer setups as needed.
  • Authorized carriers to pull off of accounts; and ensures data is tied to appropriate accounts.
  • Configure and distribute driver access cards.
  • Monitor and manage carrier insurance documentation.
  • Handles terminal access agreements.
  • Requires after hours on call support - one weekday monthly and one weekend bi-monthly
  • Performs other duties as required.

Qualifications:

  • Customer service experience, managing customer setups and maintaining data.
  • Industry knowledge, including terminal structures (throughput or exchange), as well as understanding and experience working with Petroex codes is preferred.
  • Excellent verbal and written communication skills
  • Professional demeanor and the ability to solve problems, work under pressure and effectively handle/resolve issues on a proactive as well as a reactive basis.
  • Demonstrated time management skills; the ability to organize and manage multiple priorities; strong attention to detail; and the ability to work well in a team environment.

Demonstrate proficiency with the following:

  • Microsoft Office Suite
  • Openlink Right Angle system, PDI software
  • Interpret documents such as insurance certificates, account request forms, and other operational correspondences.
  • Routine report writing and correspondence.
  • Ability to speak effectively with peers, customers, and counterparties across the industry.
  • Interpret and carry out instructions in written, oral or diagram form.
  • Problem solving particularly when they involve several concrete variables
