Position Summary

The Contract Analyst position provides business support services across the Energy Services team with some supervision. It sits within a fast-paced culture servicing commercial, industrial and institutional accounts. Responsibilities include managing processes that encompass procurement, accounts payable, vendor support, and accounts receivable for team to accurately track and report actual performance vs plans. This position builds and maintains strong working relationships with key stakeholders across the organization to ensure projects, vendors and customers are set up and performing to achieve desired goals.

Responsibilities
  • Procurement, Accounts Payable and Vendor Support

    • Set up new projects for accurate financial charging/tracking

    • Set up new vendors within systems and establish Energy Services as a new customer

    • Facilitate procurement process, which includes submitting purchase requisitions that reflect contracted agreements and SOWs, creating purchase orders, obtaining required approvals, and providing final POs to vendors

    • Process vendor invoices and respond to questions concerning payments

    • Monitor vendor statements and payment history for purchase orders, closing them out as needed

  • Accounts Receivable and Customer Support

    • Set up and initiate customer billings (one-time and recurring) for contracted work

    • Manage third-party portals, for specific accounts

    • Address outstanding payments on monthly aging reports

    • Follow up with delinquent customers and work with stakeholders and Legal team as required

  • Project Management Support

    • Work closely with PMs to manage projects through completion

    • Participate in monthly opportunity and project review meetings

    • Complete required forms and records for new projects

    • Work with Asset Manager to accurately track and report project financials

  • Documentation and Contract Administration

    • Facilitate document reviews with legal as needed

    • Assist with the documentation of processes and standards for departmental policies and procedures

    • Maintain and save appropriate documents in required systems and locations

  • Team Support and Analytics

    • Serve as a go-to resource for day-to-day operations

    • Manage special assignments, as needed

    • Perform various administrative duties, as requested

    • Adhere to corporate and complaint guidelines

    • Identify best practices and process improvement opportunities

    • Provide ad hoc reports as requested by internal stakeholders

Basic/Required Qualifications
  • Bachelor's degree AND one (1)+ years related work experience

Preferred Qualifications
  • Five (5) years related work experience

  • Associate and two (2) years relevant experience OR High School/GED and four (4) years relevant experience

Additional Preferred Qualifications

  • Excellent written and oral communication skills

  • Demonstrated ability to work effectively in a fast-paced environment with changing priorities and meet deadlines with a high degree of accuracy

  • Strong attention to details

  • Experience reviewing contracts to help team adhere to vendor/customer contractual requirements.

  • Ability to analyze financial information and recognize variances, trends, and irregularities

  • Customer centric with "hands-on" team player approach

  • Problem solving skills with can do attitude

  • Proficient in Microsoft Office products - Word, Excel, PowerPoint, SharePoint, Teams, etc

  • Computer skills and experience with PeopleSoft, PowerPlan, Maximo, CAPS Online, Business Object, Avetta, eMaint, ProCore, SAP/Customer Connect, Salesforce, or similar

  • Project management, change management and/or process management experiences a plus

Working Conditions
  • Virtual Mobility Classification - Work will be performed from a remote location after the onboarding period. However, virtual employees should live within a reasonable commute to a Duke Energy facility.

  • Periodic travel (up to 5-10%)
