Starting Pay Range: $20.00 - $24.00 per hour + Office Benefit Package (Parking/Remote Expenses): $130/Month subject to change

RADIAS Health is hiring an Administrative Assistant to provide administrative support to the staff on the Homeless Outreach team at RADIAS Health. This team provides mental health services to clients with severe and persistent mental illness and who are experiencing homelessness throughout Ramsey County.

The Administrative Assistant is an integral part of the team and is responsible for the overall organization and management of the office and administrative activities such as: maintaining files, documentation of records and electronic record keeping systems, scanning, performing audits, generating reports, and ordering and maintaining homeless outreach supplies. This position works with a diverse group of external and internal contacts at all levels of the organization. Independent judgment is required to plan, prioritize and organize a diversified workload.

Hours: Monday - Friday 8:00 am - 4:00 pm or 9 am - 5 pm

**This position is hybrid, and works two days in the office and three days from home**

Duties and Responsibilities

  • Ensure accuracy of client records in electronic health record (EHR) system for assigned programs by:
  • Maintain MN-ITS MHIS data entry per program requirements.
  • Prepare, export and provide reports as requested by program supervisors and staff.
  • Job share check preparations/ACH transfers for Representative Payee program as assigned.
  • Provide coverage at the Front Desk as needed.
  • Participate as a member of the Safety Committee
  • Pickup, prepare and drop off company mail.
  • Manage information for LTH clients through Entry, Exit and Interim forms submitted by Case Managers
  • Run Quarterly and yearly reports and submit to HMIS
  • MN-HMIS data entry per program requirements, review quarterly reporting for accuracy and make corrections as necessary for submittal
  • Expand to HAT, OEO, ESG funded services
  • Order, maintain and/or purchase Office and/or Outreach supplies for the 777 office location
  • Manage/ensure inventory of supplies is adequate
  • Maintain hotel referral list - weekly
  • Address weekly encampment update by ward using city data
  • Collect and sort mail; return to sender as appropriate (this is a high volume)
  • Data entry responsibilities for HAT, Outside In and OEO
  • Weekly run the contact report and audit as needed
  • Enter purchases into Quick Books monthly
  • Review bank statements for accuracy monthly and yearly.
  • Maintain program budget totals (5 programs plus additional county funding).
  • Report budget updates to Program Director for each funding source to support/monitor spending
  • Create forms and maintain form library as needed.
  • Small projects as requested (eg. Create brochures, new forms etc.)
Requirements
  • High School diploma or equivalent.
  • Proficient with Microsoft Office 365
  • Prior administrative or clerical experience
  • Excellent organizational skills and attention to detail.
