Facilities Space Information Specialist

General Summary of Position:

Reporting to the Facilities Information Systems Manager, the Facilities Space Information Specialist plays a critical role in ensuring the accuracy, consistency, and usefulness of campus space data across all university facilities. The position's primary responsibility is to manage the space inventory system, coordinate and lead periodic space audits across all campus buildings, and serve as a point of contact for departments verifying their space records.

This role also supports collaboration with campus stakeholders and assists in resolving space-related discrepancies. While not required, experience with records management systems and GIS is a valuable plus. The successful candidate will demonstrate strong attention to detail, analytical thinking, and the ability to communicate effectively across technical and non-technical stakeholders.

Minimum Qualifications (Required):



  • Bachelor's degree in Library/Information Science, Architecture, Engineering, Information Systems, Facilities Management, or a related field and a minimum of 2 years of relevant experience

  • 4 or more years of experience in space inventory, data verification, facilities, or a related field in lieu of a degree
  • Ability to learn CAD software (AutoCAD) within the first year of employment, if not already proficient
  • Ability to learn basic SQL Database management within the first year of employment, if not already proficient
  • Proficiency in Microsoft Office and PDF/drawing viewers (e.g., Bluebeam, Adobe Acrobat)
  • Excellent organizational and analytical skills
  • Strong written and verbal communication skills
  • Ability to work independently and collaboratively across teams


Preferred Qualifications:



  • Experience with e-Builder, ESRI GIS Software, SharePoint, PowerApps, or other facilities management platforms
  • Knowledge of design and construction practices
  • Experience with space management software, digital archival systems, or records databases
  • Experience, certifications, or registrations related to the construction industry, project management, or information technology
  • Exposure to facilities planning or working within higher education or large institutional setting is a bonus
  • Ability to translate technical capabilities into business process improvements
