Job Description

ESSENTIAL DUTIES:

  • Answers phones, directs incoming mail, prepares outgoing mail and orders department office supplies. Coordinates information between members of the team.
  • Maintains and reconciles p-card transactions for the Maintenance and Construction departments in the appropriate website. Ensures all expenses adhere to company policies and procedures and contain appropriate documentation.
  • Assists in the accurate processing of all vendor invoices in the appropriate financial systems. Enters information accurately and in a timely manner meeting all DSIC and accounting closing deadlines and schedules.
  • Investigates and responds to inquiries. Communicates with customers, contractors, utility companies, municipal, county and state authorities as well as other internal departments. Relays emergencies and other important and technical information to field personnel and superintendents.
  • Coordinates and maintains records on the customer service leak program, including recall files for shut off notification in compliance with PUC regulations.
  • Records, tracks and reports on all employee training classes.
  • Completes township and state highway permits as needed for work to be performed by department staff. Responds to permitting issues and tracks permits maintaining open and effective lines of communication with PennDot, county highway departments, and other township/borough officials pertaining to permit applications.
  • Processes restoration paperwork in accordance with departmental policies and procedures. Performs a monthly check of patchwork data and verifies monthly with Great Valley contractors for outstanding work.
  • Prepares memorandums, correspondence and reports using a variety of Microsoft applications including word processing, spreadsheets, email, and access databases as needed.
  • Operates a variety of systems, including Banner, Service Link, and maintenance connections systems to research customer and service order issues. Effectively creates, closes and relays customer information to requesting personnel.
  • Coordinates Act 287 issues for the Willow Grove Operation Departments. Receives and logs responses. Forwards all PA One requests to the proper personal in a timely manner. Replies to PA One Call System utilizing KARL for ticket status
  • Performs other related administrative tasks as directed.

QUALIFICATIONS:

  • High School graduate or GED degree.
  • A minimum of three years administrative and/or technical experience

KNOWLEDGE, SKILLS AND ABILITIES:

  • Ability to work independently
  • MS Office proficiency; willing to learn other systems as needed (i.e. Lawson, Google Maps, internal systems)
  • Resourceful; research and learn territory, company policies in order to provide internal and external support
  • Excellent written and verbal communications skills; communicate effectively (clearly, concisely and professionally) with internal customers
  • Strong customer service skills
  • Ability to work well under pressure
  • Ability to work on multiple projects simultaneously and adapt to changing priorities in a fast-paced environment
  • A team player able to work effectively in a team fostered multi-tasking environment

WORKING CONDITIONS/PHYSICAL DEMANDS:

  • Perform sedentary work- exerting up to 20 pounds of force occasionally, and/or a negligible amount of force frequently or constantly to lift, carry, push, pull, or otherwise move objects, including the human body. Sedentary work involves sitting most of the time.
