Job Description

Position Overview:
The Student Support Specialist I provides comprehensive clerical and administrative support for residents and students within the Department of Physical Medicine and Rehabilitation (PM&R). This position plays a key role in ensuring the smooth operation of resident educational activities, recruitment processes, and program documentation. The ideal candidate will be detail-oriented, organized, and able to work in a dynamic academic healthcare environment while supporting multiple priorities.

Key Responsibilities:
* Coordinate and manage resident conferences, including scheduling, preparing materials, tracking attendance, and arranging accommodations for guest lecturers.
* Input, maintain, and update resident call schedules in the appropriate scheduling systems.
* Update and maintain resident portfolios, ensuring all required documentation is complete and accurate.
* Assist with resident recruitment activities, including scheduling interviews, preparing candidate materials, and providing logistical support for recruitment events.
* Serve as backup to the PM&R Residency Coordinator, providing coverage and support during absences or peak workload periods.
* Communicate professionally with faculty, residents, students, and visiting lecturers, ensuring a welcoming and efficient environment.
* Maintain organized electronic and physical files in compliance with departmental and institutional policies.

Work Environment:
This position is based in a professional academic medical office environment and requires interaction with medical residents, students, faculty, and staff. The role may require occasional schedule flexibility during recruitment or conference events.

Shift

Flexible, 20 hours per week
Monday - Friday
8:00 a.m. - 5:00 p.m.
Occasional weekends may be required.

Minimum Qualifications

A high school diploma or an equivalent combination of education and experience and at least 1 year of experience from which comparable knowledge, skills and abilities can be acquired is necessary.

Anticipated Hiring Range

Salary Range: $15.00 - $22.00 hourly
Grade: GGS - 006
