Job Overview
The Program Support Specialist is a dynamic role supporting the Program Management team by executing various administrative tasks and collaborating with department and project leaders across multiple operations to improve business processes. This individual must demonstrate a strong aptitude for learning new systems and business processes, possess a proactive and team-oriented mindset, and be equally comfortable performing typical administrative support tasks or facilitating higher-level efforts focused on processes and improvement. Salary Range- $75,000 - $95,000 Work Model: Onsite
Responsibilities
Essential Duties & Job Functions:
- Learn and serve as subject matter expert (SME) for the administrative and business support processes; personnel and their roles in the processes; software utilized; and the methods used for execution. Provide support and training to administrative staff, as needed.
- Facilitate efforts to standardize and streamline various business processes at the direction of the Program Manager (PM).
- Generate, deliver, maintain, and/or track various program and contract documents and activities, e.g., customer contract documents; deliverables; reports; organizational charts; insurance document packages; trainings, licenses, and/or certifications of staff; etc.
- Collaborate with department and project leaders to centralize, maintain, and organize program and contract-related information to ensure controlled access and efficient retrieval.
- Facilitate the development and delivery of operational metrics, trend analyses, and the presentation of data (charts, dashboards, slides, etc.) in support of performance monitoring and reviews.
- Coordinate and attend key meetings to support PM staff in tracking accomplishments and/or corrective actions, identifying task owners, listing open items, and coordinating follow-up activities with participants and/or stakeholders.
- Coordinate the establishment of service provider accounts, e.g., hotel chains, rental car companies, training resources, etc., with procurement to streamline employee engagement in business activities.
- Perform other duties as required to support team success.

Job Requirements
Mandatory:
- Possess a bachelor's degree in Business Administration, Information Systems, or other related field.
- At least 5 years of experience in administrative, business operations, or program support roles.
- Demonstrated aptitude for learning new software and systems and applying that knowledge to develop and/or improve business processes.
- Experience using AI platforms to efficiently create content for business documents.
- Strong organizational skills and demonstrated experience collecting and organizing documents and other information both electronically and physically.
- Strong analytical skills; able to synthesize and structure various information into useful reports, graphical displays, presentations, and other formats using software and other methods.
- Excellent written and oral communication skills.
- Experience providing training, support, and mentorship to other administrative staff.
- Demonstrated ability to manage multiple concurrent activities independently and prioritize work to meet deadlines.
- High attention to detail and commitment to quality and consistency.
- Proficient in Microsoft Office (Word, Excel, Outlook, PowerPoint) and adaptable to new technologies.
- U.S. Citizenship.
- Ability to obtain and maintain the required Intelligence Community clearance.
- Valid driver's license and acceptable driving record.
- Ability to lift up to 25 pounds.
Preferred:
- Experience supporting a PMO or contract functions in a government services environment.
- Prior experience with expense reporting and related software, arranging travel using various applications, and Enterprise Resource Planning (ERP) software.
- Prior experience with file sharing applications e.g., SharePoint, Teams, etc.
- Active or prior Intelligence Community clearance.
