Summary

MSOE invites applications for a full-time Registrar to join our Registrar department! The Registrar oversees all functions of the Registrar's Office including course scheduling, registration, grading, academic status appeals, graduation audits, transfer credit processing, academic catalog, and institution reporting of student enrollment and graduation data. In addition to managing daily operations, the Registrar leads initiatives related to process improvement, change implementation, and cross-functional project management aimed at enhancing the student experience and ensuring institutional compliance and data integrity.

Essential Job Functions


Leadership and Supervision

  • Oversee all the functions of the Registrar's Office.
  • Supervise and develop staff within the Registrar's Office.
  • Prepare and monitor annual budget.


Records and Data Management

  • Uphold the integrity of student academic records and ensure compliance with academic policy and standards.
  • Maintain confidentiality of student records in accordance with FERPA.
  • Manage the Student Information System (Jenzabar), ensuring accurate data entry, tracking, and reporting.
  • Determine legitimate access to student information and manage system permissions.


Policy, Collaboration, and Service

  • Serve as module owner for advising and registration systems.
  • Collaborate with academic leaders, including Department Chairs, to revise, implement, and clarify academic policies and procedures.
  • Partner with Information Technology to support, maintain, and enhance student systems and ensure data accuracy, security, and integration across platforms.
  • Serve on faculty and administrative committees.


Other Duties and Responsibilities

  • Serve on various task forces, as needed, to make a positive contribution to campus.
  • Lead or support cross-functional initiatives related to project management, change implementation, and process improvement that impact academic operations or student services.
  • Work with Assistant VP of Curriculum & Knowledge Management and Academic Chairpersons to revise or clarify academic policies and procedures.
  • Work toward continuous improvement within the office and in our interaction with other offices on campus.

Qualifications

  • Bachelor's degree required; Master's degree preferred.
  • Minimum of 3 years of progressive experience in a Registrar's Office or related administrative role.
  • Proficiency with integrated student information systems (e.g., Jenzabar, Banner, Colleague).
  • Strong organizational, interpersonal, and communication skills.
  • Demonstrated ability to maintain confidentiality and deliver student-centered service.


Skills and Abilities

  • Ability to read and interpret documents such as safety rules, operating instructions, and procedure manuals.
  • Ability to write routine reports and correspondence.
  • Ability to speak effectively before others and communicate in both written and oral form.
  • Ability to use numbers to solve problems involving concrete variables in standardized situations.
  • Ability to apply commonsense understanding to carry out written or oral instructions.


Physical Demands

While performing the duties of this job the employee is largely sedentary, the ability to move is required. The employee is occasionally required to traverse within their work area as well as other areas on campus.

Work Environment

This job operates in a professional office environment. This role uses standard office equipment, including but not limited to computers, phones, photocopiers, and filing cabinets.
