Position Announcement

Working at the front reception desk of Business Services, this position is responsible for providing clerical, administrative, and project support to the Business Services department. Maintains a current knowledge of appropriate University policies, processes and procedures in an effort to assure efficiency and integrity of Business Services. Serves as primary point of operational and administrative contact for internal and external constituencies related to Business Services, often on complex and confidential issues. Oversees and/or participates in the coordination, control, and completion of special projects and events in support of financial services activities. Responsibilities

  • Serve as the first point of contact for Business Services by overseeing general reception and ensuring a positive, professional experience for University personnel, students, and the public.
  • Perform a variety of administrative and clerical duties, such as:
    • Managing department schedules, maintaining records and files, and keeping departmental website up-to-date.
    • Maintaining Business Services accounts, which include budgets, requisitions, purchase orders, and office supplies.
    • Distributing office mail and recording minutes at meetings.
  • Process all University outgoing checks and ACH files. Record incoming accounts receivable payments and other incoming checks.
  • Assist students with refund-related questions and concerns.
  • Coordinate and schedule trainings for Business Services, as needed.
  • Maintain and coordinate campus e-commerce activities using approved Business Services tools and processes.
  • Assist with strategic office priorities, including:
    • Gathering data or conducting basic research for special projects.
    • Drafting letters, memos, presentations and spreadsheets.
    • Coordinating communications-related Business Services activities (i.e., campus trainings, policy and procedure updates).
  • Assist accounting and business services staff by taking on designated tasks to help balance workloads and improve operational efficiencies. Responsibilities in this area may be adjusted over time based on departmental needs and staff capacity.
  • Lead or assist with special assignments, which may include supervising part-time employees within the department.
  • Perform other duties as assigned.

Qualifications

  • Associate's degree or vocational/technical school degree required. A combination of college coursework and experience may also be considered.
  • Two years of office/bookkeeping experience required; experience working with accounting records within higher education preferred.
  • Good working knowledge of computer software such as Microsoft Word, PowerPoint, Excel, Desktop Publishing, Internet, basic website design/maintenance, and email. Knowledge of University operating systems such as Banner, Argos, EMS software, etc. is preferred.
  • Excellent customer service, interpersonal, and support-oriented skills in working with students, faculty, staff, and the public.
  • Ability to work in a team environment and be approachable, friendly, and welcoming.
  • Ability to concentrate on several detailed projects in a fast-paced office environment, remaining proactive and efficient, with a high level of professionalism and confidentiality.

Supplemental Information

POSITION DETAILS, COMPENSATION AND BENEFITS:Full-time non-exempt staff (overtime-eligible) position. Annual salary of $42,000 - $44,000,with a desired start date of September 2025.
