Primary Purpose of Organizational Unit |
The Ackland Art Museum is both the best college or university art museum in North Carolina and a very complex organization. With nearly 30 employees, dozens of volunteers, and a budget of approximately $4M per year, the Ackland maintains a collection of over 19,000 works of art. It produces four big exhibitions and many smaller installations annually.
The museum receives nearly 60,000 visitors, always free of charge, who come from all 100 North Carolina counties, across the nation, and internationally each year. The Ackland serves
UNC students, faculty, and the public through its special exhibitions, programs, and activities based on its permanent collection. The staff of the Ackland works with approximately 150 faculty and graduate instructors each year to provide opportunities for them to meet their teaching and research goals by bringing their classes to the museum (approximately 10,000 undergraduate, graduate, and professional students). The Ackland provides approximately 30 internships annually for both graduate and undergraduate students. It welcomes and trains a corps of 40 docents to work with K-12 schools and the public. |
Position Summary |
The Associate Registrar is a member of the collections management team and is responsible for planning, managing, documentation, and logistics for all in-house and traveling exhibitions, incoming loans, and projects associated with the Permanent Collection of the Ackland Art Museum. Additionally, the Associate Registrar manages Rights and Reproduction requests and oversees photography of the Museum's Collection. The Associate Registrar maintains detailed registration records for every exhibition and loan. The Associate Registrar also keeps detailed records on the location of every object in the Museum's collection whether a part of the permanent collection or on loan. The Associate Registrar reports to the Head of Collections Management.

Minimum Education and Experience Requirements |
Bachelor's degree in a discipline related to the area of assignment and one year of experience that demonstrates possession of the competencies necessary to perform the work; or equivalent combination of training and experience. All degrees must be received from appropriately accredited institutions. |
Required Qualifications, Competencies, and Experience |
-Considerable knowledge of specific area(s) and ability to keep current with developments and trends in area(s) of expertise, usually acquired through post-secondary education. Considerable knowledge of standard museum methods regarding collection, exhibition, and conservation.
-Ability to coordinate and administer programs, activities, and protocols. Ability to manage resources, monitor activities and assess environmental risks and quality control associated with the program.
-Ability to present information to individuals or groups; ability to deliver presentations suited to the characteristics and needs of the audience. Ability to convey information clearly and concisely to groups or individuals either verbally or in writing to ensure that they understand the information and the message. Ability to listen and respond appropriately to others.
-Ability to assign work and to establish work rules and acceptable levels of quality and quantity of work. Ability to review work and evaluate performance of others, and to develop individual's competencies. Ability to plan and direct the daily/weekly work schedule to coordinate labor with supplies and equipment to accommodate short-term and ongoing projects and account for routine upkeep of all collections. Ability to provide orientation and ongoing training to work-study students, interns, and volunteers assigned to the department.
-Knowledge of appropriate data collection policy and procedures, filing systems, data management systems, and programs. Ability to compile, assimilate, organize and store printed and electronic information. Ability to review, compile and analyze information to prepare reports. Ability to prepare and submit annual inventory reports. Ability to prepare and maintain permanent records of the history, purchase or donation, photographs, evaluations, insurance, condition and location. |
Preferred Qualifications, Competencies, and Experience |
Course work in Art History, or Museum Studies, or related field. All degrees must be received from appropriately accredited institutions.
Demonstrated knowledge of museum cataloguing and registration techniques, skills, and abilities gained through related experience; or equivalent combination of education and experience.
Excellent clerical and computer skills is a must, including knowledge of Microsoft suite of software, image processing, and collections management database software (Preferably
TMS-The Museum System by Gallery Systems).
Excellent organizational skills and attention to detail and accuracy are critical. Proofreading skills.
Ability to prioritize and manage multiple projects with multiple and shifting deadlines with fast turn-around. Ability to make independent decisions about problems that arise within the scope of the job's responsibilities. Ability to exercise sound judgement and discretion in the handling of confidential matters.
Ability to work with and communicate effectively and professionally with a wide range of individual colleagues and groups at all levels of the Museum and University, as well as with donors, lenders, colleagues from other institutions, visiting artists, scholars, students, and the public. |
Special Physical/Mental Requirements |
Ability and willingness to handle works of art of moderate size and weight safely, following specific Museum guidelines based on sound principles of preventive conservation. Must be manually dexterous and able move up to 50 pounds with or without reasonable accommodation.
Must possess a valid driver's license.
Ability to perform domestic and international courier assignments for transport of artworks. |
Campus Security Authority Responsibilities |
This position is designated as a Campus Security Authority in accordance with the Clery Act. This position will be required to report Clery crimes to the Clery Compliance Manager and complete annual training about reporting responsibilities. |
