GENERAL FUNCTION:

Partner with the Senior Guardianship Advisors and Guardianship Advisors in every aspect of servicing their client base to ensure greater client satisfaction, client retention and growth, and compliance with all policies and procedures governing fiduciary relationships. Primary responsibility for the fiduciary team's interface with the trust accounting system, the IA Workflow System, the Unique Assets Team, Tax Department and all trust operations functions.

drive a positive customer experience. While operating within the Bank's risk appetite, achieves results by consistently identifying, assessing, managing, monitoring, and reporting risks of all types.

DUTIES AND RESPONSIBILITIES:

Client Service:

-Partner with Senior Guardianship Advisors and Guardianship Advisors to service clients, communicate frequently and regularly with clients and respond promptly to inquiries and concerns.

-Attend court and out in the market while focusing on the group's new business efforts.

-Support Senior Guardianship Advisors and Guardianship Advisors to administer guardianship estates and court supervised trusts in accordance with the terms of their governing documents.

-Partner with the Senior Guardianship Advisors and Guardianship Advisors to retain client base by working with the client service team / internal and external service providers to optimize effectiveness and efficiency in achieving the highest client service standards.

-Support Senior Guardianship Advisors and Guardianship Advisors with all decision-making aspects of guardianship administration including the prompt collection and marshaling of the ward's assets.

-Provide support for the proper the review of the ward's financial history to ensure proper administration of the ward's assets (i.e. identifying if cash needs are sufficient or need to be adjusted for administrative expenses, debts, and taxes).

-Monitor and coordinate production of the Inventory, Accounting, and the bank's petition for fees with the accounting team.

-Coordinate the timely process of all approved payments and deposits, monitor daily transaction reports of payments and other computer derived reports for quality and accuracy, setup and monitor account with outside insurance vendors to assist in the processing of insurance claims for reimbursement of medical expenses.

-Provide necessary maintenance/interface for trust accounting system.

-Review and ensure the quality of the daily account activity in the IA Workflow System.

-Ensure adherence to compliance and proper documentation requirements.

-Be consistent with internal fiduciary policies and procedures regarding business acceptance, discretionary actions, and all other bank policies, procedures and guidelines.

-Work closely with the Senior Guardianship Advisors, Guardianship Advisors and Trust Tax Accountants to ensure reporting is accurate and timely for tax compliance.

-Work with IASC to open / close accounts, process additions and distributions from accounts.

-Maintain schedule of due dates and advise administrator of project status.

-Frequent interaction with various operations teams within the Bank including maintaining regular contact with the Investment, Tax, and Unique Asset groups to provide them with required forms and background information

-Perform administrative support as directed by the Guardianship Team Lead

SUPERVISORY RESPONSIBLITIES: N/A

KNOWLEDGE & SKILLS REQUIRED:

  • Bachelor's degree preferred; professional designations (e.g. CTFA, CFP, CPA) preferred
  • Demonstrated fiduciary client service experience or acumen
  • Demonstrate basic knowledge and skills in the areas of Guardianship, Trust Administration, Estate Planning, and Estate Tax
  • Demonstrate a basic understanding of financial markets and investment theory
  • Operate effectively in an environment that stresses both individual accountability and team-based performance
  • Exhibit strong interpersonal communication skills
  • Demonstrate interpersonal negotiation, verbal and written communication and presentation skills
  • Use effective problem solving and strong analytical skills
  • Strong computer/technical skills required (i.e. ability to use all Microsoft Office software including: Word, Excel, PowerPoint, Outlook, and Access)
