Responsible for understanding the vision for shared services and managing the overall operations, services and resources of a functional area within shared services organization. The Manager balances key responsibilities of managing resources, tracking, reporting on and improving operations and developing relationships with customers and key stakeholders. The Manager resolves complex escalated cases when necessary. The Manager reports to the Director of Shared Services and directly manages the Team Leads and Staff within shared services.The AP Manager is responsible and accountable for all aspects of the accounts payable function, including ongoing operations, customer service, policies and controls, data integrity, efficient use of systems and vendor/stakeholder relationship management.
- Manage day-to-day efficient processing of transactions, operations, and inquiry management within the Shared Services function.
- Responsible for monitoring service level agreements (SLAs) and key performance indicators (KPIs) that align with shared services objectives. Meet with shared services staff to review SLAs, KPIs and opportunities for improvement.
- Manages team leader or other staff in the oversight of daily operations of the shared services function.
- Pursues and promotes adoption of process efficiencies, including automation of functions and ensuring that systems are updated regularly.
- Responsible for managing resources to efficiently process and accomplish all key components of accounts payable including monthly and/or annual cut-off processes, entry of accruals into the general ledger, reconciliation of organization-wide payables balances within the payables disbursement system and other payables accounts, initiation of periodic check runs and issuance of demand checks, report balancing for periodic operations, management of discounts to minimize cash disbursements, coordination of inquiry, monitoring and training activities with affiliates and maintenance of internal controls for safeguarding Carilion assets within the disbursement function.
- In conjunction with the Director of Shared Services and Vice President, initiates and formulates Carilion policy for the Accounts Payable function, including the establishment of due dates and effectively managing discount processes. Works with Finance to provide information on cash disbursements and to adapt payables policy to support Carilion cash flow goals.
- Oversees regulatory compliance and audit process for the AP function, including 1099 maintenance and reporting to the IRS and numerous sales tax and use tax issues.
- Maintains a system of internal controls designed to safeguard Carilion assets.
- Works closely with internal and external auditors, federal and state tax department representatives, and other regulatory representatives as needed.
What We Require:
Education: Bachelor's or 8 years of equivalent experience.
Experience: Minimum five years' experience.
