The Opportunity:

The Administrative Assistant I provides administrative support within academic or administrative offices. Receives, screens, and directs incoming calls, visitors, mail, and e-mail. Prepares and maintains files and records according to established guidelines. Uses business software applications to prepare correspondence, may arrange meetings.

Responsibilities:


  • Respond to inquiries pertaining to CECS and UCF from faculty, staff, students, and visitors.

  • Schedule, and check-in students for appointments and direct them to proper meeting locations. Handle inbound calls and directs callers to proper individuals.

  • Responsible for monitoring and responding to department emails (EACAF@ucf.edu) and voice mail messages.

  • Send emails utilizing Group mail and CECS Listservs. Direct requests and inquiries to appropriate individuals as needed.

  • Backup to Administrative Operations Manager II for various tasks.

  • Take key deposits and orders keys for faculty, staff, and students.

  • Order office supplies and maintains inventory.

  • Assist with reservation for CECS Academic Affairs conference room (ENG1: RM. 288).

  • Assist with scheduling meetings for the Associate Dean and act as backup to the Administrative Assistant III.

  • Responsible for sending Faculty Office Hours form to faculty at the beginning of each semester and follow up to ensure that submissions have been completed.

  • Ensure office machines (e.g. phones, printers, copiers, and fax) are in working order and may perform routine troubleshooting, as needed.

  • Perform all other duties as assigned.


Minimum Qualifications:

High School Diploma or Equivalent and 0+ years of relevant experience or an equivalent combination of education and experience pursuant to Fla. Stat. 112.219. Click here for more information.

Preferred Qualifications:


  • Previous experience in an administrative environment or as a receptionist.

  • Experience with scanning, filing, and sorting mail.

  • Experience with scheduling.

  • Intermediate level knowledge of Microsoft Suite (Word, Excel, PowerPoint, Access, and Outlook).

  • Ability to be trained on and learn new computer software systems.

  • Previous data entry experience.

  • Experience in Higher Education.


The most successful candidates may possess the following qualities:


  • Customer service experience.

  • Excellent verbal and written communication skills.

  • Excellent interpersonal skills.


Special Instructions to the Applicants:

The anticipated salary range for this position is $16.00 - $18.00 per hour. . The final salary will be determined based on the candidate's qualifications, experience, and internal equity considerations.
