Inova Health is looking for a dedicated Executive Assistant to join our team. This role will be full-time from Monday-Friday between 8:00 a.m- 4:30 p.m. The Executive Assistant 1 manages calendars, coordinates meetings, and ensures smooth office operations. This role also compiles accurate data, prepares timely communications, and supports leaders with administrative tasks and presentations. Executive Assistant 1 Job Responsibilities:
- Organizes and tabulates data, often of a highly confidential nature, and maintains routine and/or specialized databases using Excel, Access or other specialized database applications.
- Assists in the preparation of annual budget preparations while monitoring expenses.
- Prepares, edits and proofreads letters, memorandums and presentations from drafts or independently.
- Designs, formats and showcases presentations/documents using intermediate and advanced features of Microsoft Office applications (Word, Excel, Power Point).
- Assists executive in time management by ensuring that meetings begin and end on time, building travel time into schedule and minimizing interruptions.
- Compiles meeting agendas, gathers information from multiple sources and ensures that materials are assembled and distributed in a timely manner.
- Coordinates internal and external meeting arrangements such as invitation/registration process, facilities, catering/logistics as well as travel and hotel arrangements as needed.
- Serves as gatekeeper by screening visitors/calls, responding to inquiries or referring them to other team members, scheduling meetings/calls and following up.
Minimum Qualifications:
- Education: High School diploma or equivalent
- Experience: 3 years of relevant office experience including 1 year of reporting to a senior leader; Or Bachelors degree equivalent to 3 years of relevant experience
Preferred Qualifications:
- Bachelor's degree in healthcare administration or related fields
- Administrative support experience in healthcare
