Essential Job Functions
The Department of Child Development, Literacy, and Special Education is one of five departments in the Reich College of Education, offering innovative programs that focus on all facets of child development, reading, writing, language arts, and specific areas of special education.

The Administrative Support Specialist serves as support for the chair, faculty and other staff within this department. This role is responsible for performing a wide variety of administrative, procedural, and operational duties pertaining to the programs, financial, management, and personnel workings of the department.

In collaboration with the department chair, this position:

  • Allocates resources.
  • Plans spending and oversees budgets and contracts to ensure the financial stability of the department budget.
  • Plans, monitors, and reconciles financial information, budgets, grants, fund expenditures, travel requests and reimbursements, and departmental purchasing.
  • Organizes, assimilates, and analyzes data, conducts departmental audits of faculty tracking, faculty searches, records management, maintains and archives personnel files, office management, and other faculty services.
  • Maintains knowledge of institutional policies, procedures, and programs within the department.
  • Prepares adjunct requests.
  • Responds to repair/maintenance issues (places work orders) and attends to other duties as needed.

Knowledge, Skills, & Abilities Required for this Position

  • Records management skills; maintain departmental, state, foundation and grant budgets with accuracy and detail;
  • Word processing skills;
  • Excellent grammar, spelling, and written and oral communication skills;
  • Strong working knowledge of computer applications, including MS Office, Excel, and Google Suite.
  • Highly organized, detail-oriented, able to take initiative, thorough, reliable, and able to handle multiple tasks in a high-volume department.

Preferred Qualifications

  • Two year degree or higher (bachelor's degree preferred);
  • Experience in an academic environment with particular expertise in maintaining budgets/accounting;
  • Thorough knowledge of standard office practices and procedures;
  • Experience in Banner, Banner Finance, Chrome River, CBAS, and FLAC.

Required Functional Competencies to Successfully Perform Job Duties.
Budgeting:

  • Ability to allocate resources, plan spending, and oversee budgets and contracts to ensure fiscal stability of the department budget, foundation accounts, and grants.
  • Ability to collaborate with department chair on budget planning and projections and to financially administer budget.
  • Reconcile budgets monthly. Ability to plan and monitor the use of expenditures to meet faculty travel requests and reimbursements and purchasing of essential supplies.
  • Apply all aspects of purchasing policies and reconciliation of P-card.
  • Knowledge of appropriate policies and procedures for financial monitoring and compliance, to include documentation, reporting, renewal, and close-outs.
  • Ordering office supplies and program materials, timely payment of invoices, and travel arrangements, authorizations, and reimbursements.


Communication-Verbal:

  • Communicate accurate information about programs within the department and institutional policies and procedures.
  • Respond to inquiries regarding processes, services, and operations of the department.
  • Communicate regularly with Department Chair/Assistant Chair.
  • In absence of student services manager, step in to provide information and assistance to students and faculty.

Information/Records Administration:

  • Adhere to data collection policies and procedures and effectively use filing systems, data management systems, and other programs in order to independently compile, assimilate, organize and store printed and electronic information.
  • Review, compile, and analyze information to prepare reports such as department audits of faculty tracking as to tenure and promotion, post-tenure, graduate faculty status, faculty searches, and contractual agreements.

Pay will be commensurate with applicant competencies, budget, equity and market considerations.
