The Program Coordinator supports the Children's Legal services local operations. This position will conduct outreach, community engagement, and internal development of processes to provide legal services and effective referrals to clients in coordination with a range of internal and external actors. This position will also provide immigration case support for clients who have been assigned an attorney in the referral network.
This is a temporary position until September 30, 2025, with possibility of extension dependent on funding.
Major Responsibilities:
Community Outreach & Program Development
* Coordinate and monitor incoming and outgoing legal referrals, managing spreadsheets and completing procedures for opening and closing client cases.
* Participate in all program meetings and staff development activities, as well as comply with all IRC policies and protocols.
* Collaborate with IRC team members locally and nationally on legal and programmatic issues.
* Under the supervision of the Managing Attorney assist in drafting and monitor uniform program procedures.
* Complete administrative responsibilities including but not limited to purchase program materials, manage software subscriptions, reconcile payments, and other administrative tasks assigned by the Managing Attorney.
* Participating in recruiting, training and mentoring legal assistant staff and paralegals.
* Manage intern and volunteer support as needed.
Direct Client Services
* Represent the IRC with clients, community members, and partners by receiving and returning phone calls and emails, scheduling appointments, supporting events (including group processing events), and conducting outreach for legal services.
* Provide legal assistant support to Managing Attorney and other attorneys as needed, including meeting with clients, completing and reviewing applications, and filing court documents.
* Maintain strict client confidentiality and observe all other ethical practices/obligations as outlined in IRC's Immigration Program Policies Manual.
Data Management & Reporting
* Maintain accurate and up-to-date physical and electronic files and detailed case notes, enter required data in a timely manner, meet all case reporting requirements within established timelines and standards, and assist in the completion of statistical, narrative, and financial reports.
* Ensure accurate and timely completion of all program reports as required by funding sources, headquarters, and other partners.
* Record and track monthly and quarterly performance and ensure all client work is appropriately documented.
* Prepare timely internal and external data reports, review team timesheets and invoices.
* Other related duties as assigned.
Job Requirements:
* Undergraduate degree required.
* At least three years of professional experience with community-based outreach and/or work promoting immigrant rights experience is required.
* Previous experience with immigration legal or social services is strongly preferred.
* Familiarity with immigration software and experience with data entry and management is preferred.
* Excellent English written and oral communication skills, including presentation skills.
* Proficiency in Spanish is required.
* Ability and passion to envision a program and work towards its fruition.
* Excellent organizational and time management skills.
* Ability to be flexible and work well under pressure in a fast-paced team environment.
* Previous multi-cultural experience and proven ability to communicate well with people from diverse backgrounds strongly preferred.
* Will need to complete a Federal Background Check as well as a Child Abuse and Neglect Check.
Working Environment:
* Standard office environment - Hybrid Work Schedule with at least 3 days in the office.
* Participation in community outreach and events, as required.
* May require occasional weekend and/or evening work.

Compensation: Posted pay ranges apply to US-based candidates. Ranges are based on various factors including the labor market, job type, internal equity, and budget. Exact offers are calibrated by work location, individual candidate experience and skills relative to the defined job requirement.
