From your PASSION to ours

As Chief Executive Assistant, this role provides high-level administrative support to the MidWest Yogurt (MWY) Leadership Team. Responsibilities include managing complex calendars, coordinating travel, preparing documents (reports, presentations, agendas, correspondence), and maintaining confidential information. This position also requires collaboration with internal and external stakeholders to ensure alignment with company objectives and values.

From your EXPERTISE to ours

Key responsibilities for this position include:

  • Complete and follow-up on tasks as delegated by the MWY GM & other Leaders.
  • Maintain and proactively coordinate calendar and travel & meeting schedules of CEO and Leaders.
  • Responsible for coordinating all Board Books (monthly basis), Budget Books (semi-annually) and 3 Year Plan (annually).
  • Initiate and/or lead special projects (short and long term) and Event Planning.
  • Maintain notes and files to assist in the preparation of reports, presentations and Executive Leadership Team meetings of the Business Unit (BU).
  • Create, update and prepare for distribution correspondence, memorandums, reports, agendas, time-off schedules, etc.
  • Tactfully screen telephone calls, incoming mail and external meeting requests.
  • Independently manage hotels and travel bookings & expenses reports for the General Manager and his team.
  • Organize 1 or 2 seminars for the BU.
  • Demonstrate commitment to a safe working environment that promotes the health and well-being of all employees and that will further contribute to the Company's overall performance and success.

From your STORY to ours

Qualified applicants will contribute the following:

  • Bachelor's degree in business administration, communications or a related field is preferred.
  • 5+ years of professional working experience, ideally in a role that directly supported an Executive in an international environment.
  • Proficiency with Microsoft Office tools, especially Outlook, Word, Excel, PowerPoint, and Teams.
  • Demonstrated experience with video conferencing platforms and other online tools to facilitate smooth communication and operations.
  • Proven experience working directly with C-suite executives (CEOs, COOs, CFOs, etc.), understanding their needs, and effectively supporting their roles.
  • Ability to prioritize tasks, manage time efficiently, and keep track of various responsibilities and deadlines.
  • Ability to schedule and manage meetings in a complex environment, planning the logistics and coordinating all the relevant aspects.
  • Expertise in organizing all aspects of executive travel, including booking flights, accommodations, and ground transportation.
  • Ability to determine priorities and allocate time and resources effectively to ensure accomplishment of a specific objective with method and rigor.
  • Ability to compose emails, reports, and correspondence professionally. Strong verbal communication for interacting with internal and external stakeholders.
  • Willingness and ability to travel occasionally as business needs require.
