Summary:
Schedule: 3 PM - 11 PM Under the supervision of the Nursing Director and as a key member of the Unit-Based Patient Care Team, the Unit Secretary supports the efficient and professional operation of the Emergency Department. This includes performing secretarial duties, coordinating unit procedures, managing medical records, supporting patient discharges, and greeting and assisting patients and visitors. The Unit Secretary ensures all work reflects the hospital's mission and values, emphasizing excellence, patient-centered care, and effective communication across departments. Essential Functions: Provision of a Safe Environment Assists in maintaining a safe and organized environment. Identifies safety concerns and initiates appropriate follow-up. Service Excellence Responds promptly to the needs of patients and families. Maintains I.C.A.R.E. standards-Integrity, Communication, Appearance, Respect, and Excellence. Collaborates with the healthcare team to ensure smooth unit operations. Organizational Ethics Demonstrates hospital values and maintains patient confidentiality. Supports a culturally diverse environment and appropriately addresses patient concerns. Resource & Supply Management Monitors, orders, and organizes unit supplies and clerical materials. Initiates and tracks work orders (Facilities, BioMed, IT, Housekeeping). Reports equipment issues and coordinates repairs. Information Management Answers and manages unit phone calls and communications professionally. Assists with shift-to-shift handoffs and communicates key updates. Manages patient medical records and documentation according to hospital policy. Coordinates discharges, admissions, and transfers using the bed management system. Uses EPIC to update data, enter transport requests, and print labels. Requests old medical records and manages documentation needs. Communicates via VOCERA to support healthcare team coordination. Interdisciplinary Collaboration Works with all healthcare team members to deliver patient- and family-centered care. Supports staff with clerical tasks and communicates patient requests to clinical team members. Patient/Family Interaction & Education Greets and orients visitors professionally using C.A.R.E. standards. Provides patients and families with basic unit information. Competency & Professional Development Maintains current competency standards and seeks relevant continuing education. Supports the orientation of new personnel and serves as a resource to others. Attends staff meetings and safety-related trainings. Quality Improvement Understands unit-specific quality indicators and participates in improvement initiatives. Patient Communication Support Answers calls and manages general reception duties to support communication. ED Greeter Responsibilities Welcomes and directs patients and visitors upon arrival. Facilitates the sign-in process and enters information into Epic. Notifies the triage nurse of new arrivals and ensures patient confidentiality. Provides accurate directions and supports emergency procedures when necessary. Monitors the waiting room and communicates with the ED liaison. Assists triage and registration staff as needed. Education High School Diploma or Equivalent required and Associate's Degree preferred Can this role accept experience in lieu of a degree? No Licenses and Credentials Experience 2+ years of experience in medical, customer service setting preferred Knowledge, Skills and Abilities - Staff adheres to all I C.A.R.E. Standards. - Knowledge of medical terminology preferred. - Computer knowledge of Microsoft Office preferred. - Excellent interpersonal skills to interact effectively with patients, visitors, and hospital personnel. - The ability to work as a team member, promoting a caring and collegial attitude toward fellow employees. - The ability to work under stressful conditions, adapting to the changing pace on the unit, frequent interruptions, emergencies, and acutely ill patients. - Ability to work independently, with well developed organizational skills in order to prioritize tasks. - Demonstrated verbal and written communication skills to effectively interact with staff through voice mail, e-mail, etc. - Demonstration of flexibility and willingness to adapt to diverse role as a member of the unit based patient care team. - Must be able to demonstrate the knowledge and skills necessary to provide indirect care appropriate to the age of the patients served on his/her assigned unit. - The age of patients on this unit range from Adolescent to Geriatric. - Ability to sit and/or stand for an extended period of time. - Ability to assist lifting and carrying up to 20 lbs. - Ability to assist with the transportation of patients on and off the pod. - Demonstrated customer service skills.
