About the Job
The Department Administrator serves as the dyad partner to the Department Chair, directly responsible for strategic development, clinical management, faculty management, research, education, administration staff, departmental administration, and event planning/fund raising. Job Duties/Responsibilities:
Strategic Partner & Project Management (20%) * Partner with Department Chair to organize and implement strategic initiatives for the department, aligned with the University, Medical School and department mission of research, education and service * Lead department collaboration across multiple services including University of Minnesota Physicians, Fairview Health Services, M Health Fairview, and other community partners * Lead and implement new initiatives including special projects, strategic plans and process improvements
Clinical Oversight & Management (25%) * Develop and maintain strong clinical partnerships with M Health Fairview Neuroscience service line * Partner with UMP practice management/Fairview service line resources to ensure optimization of faculty clinical practice, including (but not exclusive to) surgical and clinical scheduling and work-flow * Partner with UMP to implement practice management standards and policies of UMP and M Health Fairview * Serve as a key point of contact and liaison with UMP centralized resources on behalf of faculty practice * Provide inputs into clinical service unit (CSU) budgeting, monitor CSU budget, and forecasts in partnership with CSU leadership and UMP finance * Liaison with UMP business development teams to support Department Chair's plan for growth * Partner with UMP to implement new clinical programs, assess effectiveness of these programs, and provide strategic adjustments in partnership with UMP and Fairview
Faculty Management (25%) * Monitor and ensure appropriate balance of faculty effort across teaching, research and clinical responsibilities * Partner with HR on faculty hiring requests, approval process, search, hire, and formal onboarding process * On-boarding and support of new faculty recruit * Coordinate adjunct faculty, UMP only faculty, emeritus faculty, and faculty at affiliate locations * Oversee governance structure & faculty-led committees * Monitor and review faculty compensation plan to ensure consistent application of compensation model * Oversee promotion & tenure process for the department and partner with the Medical School Office of Faculty Affairs to ensure process compliance within the department * Oversee faculty tracks including tenure/tenure track, academic track, and development of master clinician track * Monitor faculty career development to ensure the departmental strategic initiatives are realized through the faculty
Research (5%) * Partner with Department Chair to develop research initiatives and manage research administration structure to meet the needs of the faculty including research coordinators, pre-award team, partnership with research resources including CTSI, and monitor research activity for compliance Oversee large research initiatives/centers, * Determining resource needs and ensuring infrastructure is adequate to meet needs
Education (5%) * Ensure infrastructure set up to manage learner rotations through the department, including U.S. and visiting international scholars * Monitor departmental education infrastructure to ensure adequate resourcing of graduate medical education programs (residency, fellowships) and psychology programs (practicum, interns, post- docs) * Monitor performance of education programs and recommend improvements as appropriate * Oversee organization of key lectureships in the department
Supervision, Communication & Facilities (10%) * Lead administrative team supporting the department chair and faculty needs within the department * Recruit, develop, train, retain, and assess staff to meet the needs of the staff as well as the needs of the department * Assure compliance with UMN/UMP policies/procedures as well as other regulatory measures * Create a culture of accountability and professionalism * Align resources within the department to ensure resources allocated in support of the department's strategic plan * Lead process improvement initiatives to ensure effective, efficient administrative support * Respond to routine and non-routine needs of the department and Medical School *Liaison for communication within the department including newsletters, website, internal communication, and electronic communication Manage facility needs of the department, including remodeling space, allocating space. * Oversee departmental technology policy and needs, making decision about how often to replace computers, ordering technology to support new faculty
Event Planning & Fund raising (10%) * Support stewardship activities with existing donors and cultivation of prospective donors in partnership with University of Minnesota Foundation (UMF) * Develop proposals for use of the available philanthropic funds * Facilitating the organization and on-going management of the Peyton Society of UMN Neurosurgery Alumni and other department events as needed This position will be 40% on campus and 60% remote.
Qualifications
Required Qualifications: * Bachelor's degree in Business Administration, Healthcare Management or related field * Experience in the healthcare/academic setting with minimum of 6 years of experience in a managerial role and budgetary responsibilities * Strong communication skills, judgment and ability to work collaboratively with faculty, staff, and residents * Ability to develop professionally through increasing levels of responsibility * Experience with strategic planning, department budgets, department operations
Preferred Qualifications: * Master's degree in Business Administration, Healthcare Management * Experience in working with a physician leader * Knowledge of administrative requirements associated with physician practice management * Experience as a manager in working with surgeons * Knowledge of Lean principles

Pay and Benefits
