  • Reports to: Terminal and Assistant Managers

How will you CONTRIBUTE and GROW?

Job Description Summary: The Administrative Assistant provides high-level administrative support to Terminal Manager and team by handling information requests and performing administrative functions such as preparing correspondence and/or reports, working on special assignments, receiving visitors, arranging conference calls, scheduling meetings, trips and events, while maintaining confidentiality.

  • Organize office operations and procedures i.e. answering phone, providing customer service, relaying messages, and greeting visitors, billing, PO, payable, payroll, maintaining records management database systems, open, sort and distribute incoming correspondence, including faxes and email and daily input of driver shifts (Trip Confirmation).

  • Create reports, memos, letters and other documents, analyze and interpret spreadsheets using Google computer software.

  • Maintains supplies inventory to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies.

  • Coordinates and plans special projects, events, office activities and committee meetings, off-site meetings along with maintaining calendar, scheduling appointments and meeting rooms for Team meetings.

  • Makes travel and accommodation arrangements and compile, calculate and create expense reports according to internal rule

  • Travels to support training initiatives as required.

  • Assist and attend mandatory monthly safety meetings and facility audits.

  • Works safely and complies with all company DOT safety standards and rules.

  • Assists terminal management with facility Emergency Action Plan as needed.

Required Qualifications

  • High School diploma or GED
  • 2 years admin experience
  • Exceptional organizational and computer skills (must be highly proficient with MS Office/Google applications)

Preferred Qualifications

  • Associates degree
  • 5 plus years admin experience
  • 3-5 years SAP experience
