Job Title: Administrative Assistant

Duration: 8 months


Location: New York, NY 10001

Responsibilities:

  • Provide full administrative support for Managing Directors and a team of economists and strategists.
  • Manage heavy scheduling, internal and external conferences, webcasts and other events ; High involvement of international scheduling will be involved.
  • Handle a high volume of phone calls and emails.
  • Keep a track and record client engagement activities of the team members.
  • Relay information and perform tasks in a timely manner.
  • Coordinate international and domestic travel arrangements.
  • Process travel & entertainment expense reports in accordance with firm guidelines.
  • Handle onboarding logistics for new hires and transfers.
  • Assist in coordinating internal visitors' logistics.
  • Take on ad-hoc projects while maintaining daily work flow and general administrative support.


Required Skills:

  • Minimum of 3 years or experience as an administrative assistant supporting a senior level executives and/ or large team.
  • Experience at financial services firm is preferable.
  • Strong proficiency in MS Office applications: Outlook, Word, Excel, PowerPoint.
  • Strong organizational skills and ability to prioritize.
  • High attention to detail.
  • Ability to perform a wide variety of tasks with the flexibility to change focus quickly as demands change /multitask.


Preferred Qualifications:

  • Excellent interpersonal skills and ability to work collaboratively in a team environment.
  • Strong command of Spanish and English with excellent written and verbal communication skills.
  • Ability to display a consistent, professional degree of communication.
  • Comfortable working with people at all organizational levels.
  • Team player with a positive attitude.
  • Demonstrates dependability and a sense of urgency to drive results.
  • Anticipates needs, potential issues and is able to independently make decisions.
  • Maintains a high standard of performance despite pressing deadlines.

  • Spanish Proficient.
