Description

The Safety Administrator provides administrative support to Safety Department and others as directed. This position will have contact with employees at all levels within the company and will frequently interact with senior leadership and administrative support. In addition, this Safety Administrator also plays a key role in communicating with several external groups

The position reports to the Newark Safety Leader.


Responsibilities




  1. Live the Safety stand, adhere to safety responsibilities.



  1. Provide direct administrative support to the Safety Leader and others as directed, which includes:



  • Scheduling of meetings for Safety Leader and others as directed
  • Compose e-mail/correspondence/fax for own or management signature
  • T&E expense report processing
  • Filter calls and open mail (including e-mail), using own judgment to redirect action items/queries without referral
  • Anticipate information needs for meetings and projects being handled in the course of each day and for those taking place during travel. Determine and compile materials needed for those meetings and projects.
  • Provide pro-active support to track actions, deadlines and manage documents
  • Prepare agendas, arrange for teleconferences, video conferences and webcasts for management and other meetings
  • Coordinate and schedule meetings with senior level internal and external constituents
  • Maintain appropriate hard copy and electronic filing systems.
  • Organize, coordinate and disseminate correspondences.
  • Run weekly and monthly reports
  • Track all incidents for the facility and produce appropriate reports
  • Track and coordinate all PPE and related services
  • Update third party tracking systems for equipment vending machines and other safety equipment
  • Coordinate and track risk reduction projects in SharePoint
  • Provide administrative support around the creation of lockout/tagout procedures



  1. Act as the OCU training coordinator for the Newark Plant. Input all safety training in the LMS tracking system.



  1. Maintain and track all documentation related to the safety portion of Newark's primary employee incentive program



  1. Develop and maintain a wide, high-level, and effective network of relevant business and administrative contacts



  1. Act as the MSDS Administrator for the facility and coordinate chemical entry into the MSDS Vault system



  1. Assist the Sourcing department



  • Create purchase requisitions in SAP
  • Order items from suppliers
  • Order acknowledgements in SAP



  1. Coordinate and distribute all incoming and outgoing mail for the plant



  1. Assist Environmental Leader with reporting as directed



  1. Other duties as appropriate at the discretion of the Safety Leader



Job Requirements

Experience:



  • Previous experience as an Administrative Professional and the demonstrated ability to function at the Executive Administrative Professional level.
  • Experience communicating both internally and externally and effectively managing relationships.
  • High School diploma required, Associates or Bachelors Degree preferred.



Knowledge and Abilities:



  • Ability to maintain the confidentiality of sensitive communications and data
  • Strong communication skills (written and verbal) and organizational skills and the ability to interact effectively with a wide variety of constituencies
  • Strong working knowledge of the MS Office Suite including Outlook, Excel, PowerPoint and Word.
  • Strong working knowledge of PeopleSoft.
  • Ability to manage timelines, work well under pressure and deliver in a fast paced work environment to meet business critical deadlines.
  • Ability to work independently and proactively with minimal supervision and guidance
  • Has strong business acumen and ability to communicate on behalf of Senior Leaders
