Job Summary:

The Wisconsin School of Business (WSB) at UW- Madison is a globally recognized business school, conducting cutting-edge research and delivering a market-responsive degree portfolio. The Executive Assistant to the Dean provides comprehensive executive support to the Dean of WSB and manages the administrative functions of the Deans office. Reporting directly to the Dean, duties include managing the Deans calendar, ensuring that the Dean is prepared in a timely manner for meetings and business activities, coordinating travel, managing Deans office staff and serving as point person for school-wide activities. The individual in this role engages with confidential information, requiring discretion and sensitivity. This position serves as a reflection of the Dean and the Deans office of WSB, responding to inquiries with service-oriented interpersonal skills in all interactions.

A successful candidate will be an organized self-starter who has a high level of administrative, problem solving, and relationship building abilities. Success in this role will require a considerable amount of independent initiative and judgment, attention to detail, strong communication skills, and ability to build relationships.


Responsibilities:
Provides administrative support for a leadership position with institutional influence and oversight (Chancellor, Vice Chancellor, Associate Vice Chancellor, and/or Provost, as defined by the institution). Utilizes discretion and operates independently with minimal supervision.

  • 40% Schedules logistics for meetings, conferences, and travel and organizes schedules for a leadership position with institution wide authority
  • 10% Compiles, screens, and evaluates correspondence and reports and recommends actions
  • 20% Develops and facilitates communications of varying complexity between various internal and external stakeholders
  • 10% Manages the organization, auditing, security, and confidentiality of records and files
  • 10% Monitors budgets and reviews and approves expenditures
  • 10% Supervises one Administrative Assistant position and student employees in the Dean's Office

Qualifications:

Required:
- Minimum two years of experience working in a complex administrative environment.
- Experience managing an electronic calendar for an executive level position.
- Experience making travel arrangements and itineraries.
- Experience working with budgets and financial processes/procedures.
- Proficiency with desktop software, including word processing, preparing presentations, and managing spreadsheets.

Preferred:
- A minimum of two years of relevant experience as an administrative or executive assistant
- Professional experience in higher education
- Previous supervisory experience of a professional position within the past 5 years
- Excellent organizational skills with attention to detail
- Strong written and oral communication skills
- Ability to prioritize tasks and manage time in juggling multiple priorities

It is anticipated this position requires work be performed in-person, onsite, at a designated campus work location.
