Summary
-Performs both administrative and clinical functions to support smooth and efficient clinical service or practice operations under general supervision. -Serve as the primary administrative contact for the bariatric program. This role is the point person for the program and works closely with admins in various departments and develops a deep understanding of the program. -Performs basic clerical work and tasks that are repetitive and routine. Administrative duties related to patient visits including scheduling, check-in, check-out duties. Actual job duties may vary by Department. -Perform routine administrative and clerical duties relating to a clinical service or physician practice office. -Make patient appointments and maintain appointment records. -Greet and assist patients. -Answer telephones, assist callers with routine inquiries, and schedule appointments, imaging and testing appointments. -File materials in patient folders, and print appointment schedules. -Process patient billing forms and scan documents to patient medical record -Provide consultation to patients regarding insurance coverage. -Work with patients and insurance companies to verify eligibility. -Check that referrals are in place when required by insurance company; if not, help patient get referral. -Call for patient medical records and laboratory test results. -Open and distribute unit mail or faxes. -Type forms, records, schedules, memos, etc., as directed. -May be required to accept co-payments. -Handles, screens and/or takes messages related to prior authorizations, -provider questions, prescription refills, and test results. -Acts as "Super User" for scheduling, registration and billing systems. -Provides assistance and training to others in these areas. -Perform more complex or specialized functions (i.e. surgical scheduling, schedule changes/blocking) at more advanced competency level. Education - Well organized and good time management skills to manage multiple tasks effectively, follow established protocols, and work within systems. -Answers incoming telephone calls in a timely fashion. Adhere to organizational and departmental service standards related to telephone access to ensure that patients, referring physicians, and other customers can easily access the practice by telephone. Appropriately manage all calls, either by working with the customer or by referring the call to the appropriate party For routine matters, respond directly to customer inquiries without referring the caller elsewhere. This includes responding to inquiries related to the availability of appointments, scheduled appointment dates and times, specialty referrals, parking, directions and general information. -Appropriately manage patient gateway messages and ensure a timely response as well as triage requests appropriately. - Maintains all provider clinical appointment schedules according to provider template and adjusts them in a timely fashion as needed. Schedules patients for appointments in the surgical practice and facilitates appointments for patients to external referral agencies as well as for testing, imaging and other specialist appointments. Warmly greets patients when checking patients out from their appointments and performs administrative tasks necessary to ensure needed information for a successful visit such as availability of the medical record, appropriate forms, referrals and other actions needed to maintain flow of the clinic. - Coordinates the site-specific patient intake forms and gathers all necessary medical records for patient to see the provider. Prepare charts for clinic so that provider has all information at appointment time. - Assists with maintaining space, check out desks and waiting room in an orderly fashion. Carries out daily start-up and shut-down functions Provides coverage for other admins who are out of the office, as well as front desk check in when needed.
