The Administrative Assistant is responsible for providing administrative support and coordinating logistics through calendar & email management, regular meeting attendance, and follow up communications. With a keen attention to detail and a strong understanding of daily operations, the individual in this role will be vital in supporting the prevention and detention programs' community impact and success. Job Responsibilities * Schedule, attend and actively participate in regular team meetings, accurately taking and distributing meeting minutes and action items. * Manage calendars as well as email correspondence for department leadership, scheduling meetings and helping the team stay organized in terms of documentation and informed on project developments. * Support internal committees through active participation and follow through on strategic initiatives. * Oversee general administrative tasks such as making reservations, ordering food & supplies, meeting preparations, photocopying, and maintaining organized digital and physical records, including expense reporting. * Greet and assist visitors, and answer and direct phone calls. * Submit invoices and check requests, liaise with vendors, and support basic finance processes. * Coordinate training logistics, teambuilding events, and onboarding activities for new hires. * Communicate with landlords and vendors to maintain functional and professional office spaces. Ideally, you: * Have experience in an executive assistant or office management role. * Are skilled in Microsoft Office (Excel, PowerPoint, Word, Notes) and Outlook * Can write and edit professional documents with accuracy and clarity. * Communicate effectively with various audiences - including frontline staff and executive leadership. * Is adaptable and can manage a fast paced office environment with interruptions. * Can shift priorities to provide responsive and dependable support to program leadership. * Can handle confidential documentation with discretion and professionalism. Job Requirements * Minimum of High School diploma/GED required. * Administrative, customer services, or human services experience strongly preferred. * Must have a Valid Driver's License with acceptable driving history to the Agency. * Ability to work with an economically and culturally diverse population. * Skills: excellent written and oral communication skills including data entry skills.
