Outpatient Admitting Clerk


Behavioral Health Services
Hourly Pay Range: $14.87 - $22.28

Job Summary: Under the direction of the Clinic Manager/Crisis Coordinator the Outpatient Admitting Clerk will provide high-level assistance to the successful day-to-day operations of the clinic by providing excellent customer service to clients seeking services, completing registrations, and scheduling appointments in the electronic health record (EHR). Duties include office management, managing records requests, information management, performing data collection, report generation, supporting staff needs, and completion of special projects.

Job Duties:



  • Answer and route calls, communicates messages to staff; welcomes clients to clinic, checks clients in, completes reminder calls/texts to clients. Prepare materials for staff and clients, maintain supplies and order as needed. Utilize independent decision making and problem solving to assist leaders with data collection, preparing reports, and assisting staff with other requests as needed.
  • Collect and complete general registration information and demographics with clients by collecting initial data, opening client episodes in the EHR, and reviewing fiscal documents as needed.
  • Close episodes, assures all discharge paperwork is completed, removes client names from scheduling and activity logs.
  • Schedules clients for all mental health services, verifies and updates client demographic and insurance information, serves as a point person and supports management to correct and address billing issues with the Fiscal Department.
  • Organize, manage, and track client utilization in EMR; alerts staff when Prior Authorizations (PA) are required; prepares the PA for clinical staff, routes and tracks information to Forward Health, verifies client insurance monthly, runs prepared reports from PC and Avatar.
  • Develops and manages clinic office processes such as maintaining a HIPAA compliant office space and client experience, supports medical team with documentation and forwards documents to Med Records. Also recommends process improvements
  • Supports clients by routing/referring them to correct resources, assists staff with administrative tasks as requested, and provides support for other support staff as needed.



Minimum Requirements:



  • Current resident of the state of Wisconsin
  • High School Diploma or GED equivalent
  • At least one (1) year of experience in a Receptionist and Customer Service role in a healthcare setting required.
  • Must have intermediate level of experience with Electronic Health Records (EHR)
  • Must have proven history of proficiency in documentation and medical records.
  • Must be able to pass a Federal Background Check
  • Ability to lift/carry up to 25lbs



Knowledge, Skills and Abilities: Knowledge of patient rights and confidentiality (HIPAA); knowledge of medical terms and abbreviations including the metric system; knowledge of office practices, principles, methods and procedures; knowledge of spelling, grammar and punctuation; knowledge and proficiency in the use of a personal computer; written and oral communication skills; organizational skills; ability to follow oral and written instructions; ability to maintain records, files and store items numerically, alphabetically, or by classification; ability to perform data entry into a computer system; ability to perform basic math computations; ability to work effectively and harmoniously with others; ability to maintain sensitive or confidential information.
