Overview
Orrick currently has an excellent opportunity for an HR Assistant - Organizational Effectiveness. This position could be based in any of our U.S. offices (Austin; Chicago; Boston; Houston; Los Angeles; New York; Menlo Park; Orange County; Portland; Sacramento; San Francisco; Santa Monica; Seattle; Washington DC; or Wheeling, WV). What will I do? As an HR Assistant, you will support firm HR processes, projects, and initiatives with a primary focus in talent processes and operational efficiencies. The HR Assistant will collaborate with partners across the HR function and other cross functional partners. The incumbent is expected to serve as an ambassador of Orrick's friendly, respectful, and inclusive culture to all candidates and staff members, ensuring a positive, professional experience.
Responsibilities
Employee Life Cycle Change Support:
- Administration:
- Prepare agendas for team meetings, track action items, and compile status notes.
- Conduct regular reporting as requested by stakeholders.
- Suggest areas for process improvement.
- Support Employee Lifecycle process administration, including efficient archiving of expired projects.
- Assist in creating clear instructional guides for the firmwide applicant tracking system to standardize and streamline recruiting processes.
- Monitor and respond to ELCC inboxes.
- Maintenance:
- Lead proactive maintenance efforts by reviewing tasks and automations following leadership updates.
- Support the implementation of standardized and automated processes across the employee life cycle, ensuring alignment with organizational goals.
- Gain insights into leadership and departmental functions to enhance strategic and efficient issue handling.
- Maintain accurate records of offboarding activities, ensuring data integrity and confidentiality.
- Coordinate with HR, IT, Finance, and other departments to facilitate smooth transitions for departing employees, managing system access revocation and responsibility transfers.
- Convey feedback to stakeholders and work with them to improve offboarding processes, identifying opportunities to streamline procedures and enhance the overall experience.
- Global ELCC Implementation:
- Collaborate with project leads to support the global implementation of Employee Life Cycle Change (ELCC) initiatives.
- Assist in coordinating project timelines, resources, and deliverables to ensure successful execution across various regions.
- Facilitate communication between project leads and stakeholders to align global strategies and objectives.
- Monitor project progress and provide regular updates to ensure alignment with organizational goals and timelines.
- Support the development and dissemination of global best practices for ELCC processes, ensuring consistency and efficiency across all locations.
Interim Culture Support:
- Town Hall Meetings:
- Support the execution of administrative tasks for Town Hall Meetings, including creating presentation slides, coordinating with WLCS for milestone anniversaries and awards, and managing webinar setups.
- Draft run-of-show documents and follow-up emails.
- Collaborate on post-meeting tasks, such as posting recordings and syncing with the portal.
- Monitor and respond to StaffConnect and OrrickPhotoShare inboxes.
- enCORE Awards:
- Track award notifications and review submissions for potential recognition.
- Laise with other departments on updates, changes and issues.
- Send awards to recipients and manage award-related communications.
- Prepare quarterly reports for award determinations, and incorporation into Town Hall meeting acknowledgements.
- Staff Appreciation:
- Attend meetings, circulate agendas, and manage to-do items.
- Assist in coordinating project timelines, resources, and deliverables to ensure successful execution across various regions.
- Order and distribute staff gifts.
Back Up Support Attorney Onboarding and Offboarding:
- Onboarding:
- Coordinate onboarding for US Partners and Non-Partner Attorneys, ensuring timelines are met and preparations are in place.
- Draft and finalize orientation schedules tailored to new hires, ensuring clarity and alignment with organizational goals.
- Maintain accurate records related to attorney onboarding schedules and activities.
- Serve as a point of contact for Attorney Recruiters and internal staff, providing guidance on onboarding procedures.
- Offboarding:
- Coordinate onboarding for US Partners and Non-Partner Attorneys by managing all necessary tasks, ensuring that key milestones and deadlines are met. This includes organizing documentation, facilitating communication between relevant teams, and making sure all required preparations are completed in a timely manner.
- Initiate the kickoff process for departures within one business day of notification.
- Ensure offboarding documentation complies with company policies and legal requirements.
- Serve as the primary contact for departing employees, providing clear guidance and addressing concerns professionally.
- Maintain meticulous records of offboarding activities, ensuring data accuracy and confidentiality.
- Coordinate with HR, IT, Finance, and other departments for smooth transitions.
- Work with stakeholders to improve offboarding processes and enhance efficiency.
HR Operations Support:
- Develop familiarity with HR policies and procedures to respond to employee inquiries.
- Escalate issues to appropriate HR resources as needed.
- Schedule meetings as needed.
- Process expense reimbursements and prepare payment requests as needed.
- Complete special projects as necessary.

- California Major Markets* $45,000 - $61,000
- New York City $48,000 - $61,000
- National $44,000 - $56,000
* California Major Markets includes San Francisco, Silicon Valley, Los Angeles, Orange County, Santa Monica. All other California locations fall within National range. Orrick is committed to providing a comprehensive, competitive, and thoughtful total compensation package to our attorneys and staff, wherever they work.
