About the opportunity

Are you a detail-oriented person who enjoys problem solving and organization? Are you interested in supporting a diverse group of project managers on a variety of projects in order to deliver the highest-quality work? SWCA is seeking an Administrative Specialist to support Administrative Record and Decision File work in any of SWCA's Arizona offices (Tucson, Phoenix, or Flagstaff). The option for remote work would be available to the right candidate. This is a regular, full-time role with benefits.

What you will accomplish

This position will be responsible for assisting SWCA National Environmental Policy Act (NEPA) staff in organization of official records that are required for NEPA compliance. These records are provided by SWCA NEPA staff and federal agencies to the Administrative Specialist, who will file the record, extract pertinent information, log the information in a tracking sheet, and ensure accuracy and completeness through the life of the project. The Administrative Specialist will work closely with SWCA's Administrative Records Lead to ensure accurate filing and organization. The Administrative Specialist may also work directly with NEPA staff or agencies to direct an efficient and reliable process for obtaining the needed records.


Experience and qualifications for success

REQUIRED

  • Minimum of a High School diploma (or GED equivalent).
  • Minimum of 1 year of detail-oriented work with data, including but not limited to, data entry, editing, proofreading, managing spreadsheets, ensuring numerical accuracy.
  • Excellent communication, multi-tasking, and interpersonal skills.
  • Meet tight deadlines in a fast-paced environment.
  • Demonstrated proficiency with MS Office applications including Teams, Word, Excel, and Outlook.
  • Willingness to jump into various types of tasks and learn new things to support our team as needs arise.
  • Ability to communicate clearly.
  • Strong problem-solving ability.

PREFERRED

  • 2 years of experience with detail-oriented work with data, including but not limited to, data entry, editing, proofreading, managing spreadsheets, ensuring numerical accuracy.
  • Experience working for an environmental consulting, engineering or construction firm.
  • Experience with other software applications such as Adobe Acrobat or Microsoft Access.
