Responsibilities

As an Executive Assistant with MTSI you will support the DAF PEO C3BM Battle Network. This position requires active collaboration across multiple organizations and lines of effort. This position will be located at Hanscom Air Force Base.

Your essential job functions will include but may not be limited to:

  • Providing critical technical advisory support to integration planning and implementation for the organization
  • Identify requirements, gather resources, and implement special projects assigned by the division director
  • Manage military personnel matters
  • Participate in and take notes during customer meetings
  • Prepare and run presentations for division meetings, C3BM all-calls, and other meetings. Integrate leadership materials into cohesive briefings, take notes, and follow up on action items
  • Develop and maintain master rosters of the organization
  • Assist personnel with Defense Travel System (DTS) for travel approval, scheduling, and reimbursements
  • Handle security clearances and visit requests via DISS
  • Train personnel on software applications such as office suite, and shared online filing systems
  • Serve as the primary point of contact for government leads' calendars, schedules, and email correspondence across multiple networks (classified and unclassified)
  • Track Integrated Product Team (IPT) manning and prepare organizational charts
  • Perform data entry, integrating information into reports and presentation materials
  • Prepare correspondence per standard government formats, including classified and unclassified documents
  • Manage office supplies, gather requests, and coordinate purchasing
  • Assist in writing monthly activity reports and preparing award submissions
  • Support planning, preparation, editing, and publication of program documentation, reports, briefings, and other technical/non-technical materials
  • Lead administrative event operations, including attendee lists, invitations, venue procurement, logistics, and attendee check-in
  • Act as the single point of contact for tracking and managing all division or branch taskers, ensuring completion and archival in SharePoint
  • Multitask efficiently with strong attention to detail and customer service orientation.
  • Perform additional duties as assigned

Qualifications

  • 10+ years of administrative experience, with at least 5 years supporting executive-level personnel in a government or corporate environment related to the above responsibilities
  • Minimum 3 years of eoperating in secure environment (SCIF, SAPF)
  • Must be able to support 100% in-person attendance at Hanscom AFB, MA
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), scheduling software, and virtual collaboration tools
  • Excellent verbal and written communication abilities, with a keen attention to detail.
  • Strong organizational and multitasking skills, with the ability to prioritize tasks effectively
  • Ability to work collaboratively with diverse teams, stakeholders, and the public.
  • S. Citizenship is required for this position,
  • Experience with government tools, such as DTS
  • experience is desired


Education Requirements

  • Bachelors degree required
    • Experience may be considered in substitution for education

Clearance Requirements

  • Must possess a Top-Secret security clearance with SCI eligibility
