Position Title: Travel Office Support Specialist

Location: Naval Surface Warfare Center Panama City Division (NSWC PCD), Panama City, FL

Job Summary: We are seeking a dedicated individual to join our team as a Travel Office Support Specialist at NSWC PCD. This role involves managing and supporting the travel needs of government employees, ensuring compliance with all relevant travel policies and procedures. The position will handle up to 5,000 travel authorizations and corresponding vouchers annually, providing essential support to facilitate smooth travel operations.

Responsibilities:




  • Review and Process Travel Documentation:




    • Review all travel authorizations and vouchers in the Defense Travel System (DTS) for completeness, accuracy, and compliance with the Joint Travel Regulations (JTR) and DoD Financial Management Regulation (DoD 7000.14-R).



    • Correct inaccuracies or non-compliance in DTS documents as per regulatory requirements without changing the scope of travel.





  • Provide Travel Guidance:




    • Offer "how-to" guidance via phone, email, or face-to-face regarding DTS use and government travel policies during normal business hours (Monday through Friday).





  • Support Travelers:




    • Assist government travelers in completing their travel authorizations and vouchers using government-provided computers in the travel office.



    • Provide travelers with travel advisories, information on leave in conjunction with TDY travel, and rental car usage policies.



    • Respond to inquiries about requirements for receipts and their proper upload within DTS.





  • Data Management and Reporting:




    • Research travel expense estimates from sources like Scheduled Air Transportation Office (SATO) and Defense Travel Management Office Travel Explorer (DTMO TraX).



    • Generate travel authorizations and vouchers in both DTS and paper formats as required.



    • Prepare Purchase Requests in Navy Enterprise Resource Planning (NERP) for non-DTS travel orders.



    • Generate and manage various DTS reports, ensuring data integrity and timely submission.





  • System Access and Compliance:




    • Obtain and maintain necessary access to systems such as NERP, iNAVSEA, NAVSEA Fusion, and NSWC PCD's Knowledge Management System for travel-related tasks.



    • Archive travel records in compliance with SECNAV M-5210.1 CH-1 Records Management Manual.






Qualifications:




  • Education: High school diploma or equivalent; further education or certification in travel management or related fields is advantageous.



  • Experience:




    • Minimum of 2 years in an administrative or travel support role.



    • Proven experience with DTS or similar travel management systems.



    • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).



    • Strong organizational skills with the ability to manage multiple tasks concurrently.



    • Excellent verbal and written communication skills for clear interaction with personnel across NSWC PCD.



    • Ability to work independently with meticulous attention to detail.






Preferred Skills:




  • Knowledge of DoD and Navy travel protocols, policies, and documentation standards.



  • Experience with government-specific software systems like NERP or similar database management.
